Responsibilities

New York Institute of Technology's College of Osteopathic Medicine Family Health Care Center is seeking a full-time Office Assistant.

We are seeking a highly organized and personable Office Assistant to join our clinic. In this role, you will be the first point of contact for patients, providing exceptional customer service while handling administrative tasks efficiently. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

    Greet and assist patients, ensuring a welcoming and positive experience.
  • Answer phone calls, schedule appointments, and manage the clinic's appointment calendar.
  • Check patients in and out, ensuring all necessary paperwork is completed.
  • Verify patient information, including insurance details, and proper PCP attribution change.
  • Process patient payments, including co-pays and past due balances, and handle billing inquiries.
  • Assist with patient referrals, ensuring necessary documentation is sent to the appropriate medical facilities. Follow up with specialists to collect visit summary notes.
  • Coordinate communication between patients, doctors, billing and other clinic staff.
  • Log patient communication in eClinicalWorks (eCW) via telephone encounters.
  • Maintain a clean and organized front desk and waiting area.
  • Managed electronic health records (EHR) and ensure patient confidentiality in accordance with HIPAA regulations.
  • Assist with other administrative tasks as assigned, including filing, faxing, and mailing documents.


Qualifications

High school diploma or equivalent required; additional education or certification in healthcare administration is a plus.

Previous experience in a front desk or customer service role, preferably in a healthcare setting.

Proficient in Microsoft Office (Word, Excel, Outlook) and familiar with electronic health record systems.

Strong communication skills, both verbal and written.

Ability to handle multiple tasks while maintaining a high level of professionalism.

Strong organizational skills and attention to detail.

Maintain an approachable demeanor with a focus on patient care.

Must be able to interact with patients, insurers and team members in a responsible, professional and ethical manner.

At least two years of preferred Medical Office experience and an understanding of Medical Terminology.

Preferred Medical Assistant Training and/or certification.

Bi-lingual Spanish preferred.

New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.
