Job Description:
The University of Missouri System is seeking a detail-oriented, highly organized, and proactive Executive Assistant to support the Secretary of the Board of Curators. This position plays a crucial role in coordinating communications, scheduling, and logistical support for the Board of Curators, ensuring efficient and effective operations within the Office of the Secretary.

The Executive Assistant will be responsible for managing sensitive and complex administrative tasks, including but not limited to, preparing and reviewing documents, organizing meetings and events, and serving as a key liaison between the Secretary of the Board, University leadership, and external stakeholders. This role requires a professional with exceptional organizational skills, the ability to work under pressure, and a commitment to maintaining confidentiality and discretion in all communications.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the Secretary of the Board, including managing schedules, preparing correspondence, maintaining files, and handling confidential information with the utmost discretion.
  • Meeting Coordination: Organize and coordinate Board meetings, committee meetings, and special events, including agenda preparation, document distribution, minute-taking, and follow-up actions. Ensure all meeting logistics are arranged, including AV needs, room setup, and catering.
  • Communication: Serve as a primary point of contact for the Secretary's office, responding to inquiries, facilitating communication with Board members, University leaders, and external partners. Draft and edit reports, memos, and other documents as needed.
  • Document Management: Assist in the preparation and review of meeting materials, reports, and presentations. Maintain accurate records, ensuring compliance with relevant policies and protocols.
  • Project Assistance: Support special projects, research assignments, and initiatives led by the Secretary, helping to achieve goals efficiently and on time.
  • Travel and Expense Management: Coordinate travel arrangements and prepare expense reports for the Secretary, ensuring adherence to university policies and budgetary guidelines.
Shift

M-F, 8 am - 5 pm

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with virtual meeting platforms (e.g., Zoom, Teams).
  • Ability to work independently, exercise sound judgment, and handle confidential information with integrity.
  • Familiarity with University of Missouri System policies and procedures is a plus.
Anticipated Hiring Range

Salary Range: $51,875 - $65,000

Grade: GGS-10
