Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking an Administrative Coordinator (Personnel Coordinator). The Administrative Coordinator (Personnel Coordinator) is a member of the Dean's Office team embracing the challenges of achieving community goals and supporting team efforts to grow together.

This position is responsible for and not limited to the following:

  • Provides support for personnel and payroll, and other administrative and operational activities for the Dean's Office, School of Arts and Sciences-Newark (SASN)
  • Supports staff recruitment and personnel activities, including, but not limited to, recruitment, onboarding, training and development, record keeping
  • Participates in, contributes to, and supports special projects, training, learning and development, and other initiatives to cultivate a positive work environment and to promote, support, strengthen, and expand the relationship between the Dean's Office and academic departments and programs as well as other administrative partners
  • Contributes to the design, implementation, and maintenance of new systems
  • Ensures a professional, responsive, and welcoming environment for diverse stakeholders, including faculty, staff, students, administrators, and others
  • Ensures clear, consistent, reliable, and thorough communications
  • Uses technology to achieve operational efficiencies and a streamlined workflow. Identifies opportunities for process and other improvements and provides feedback for ongoing improvements, identifying trends and knowledge-based needs and providing insight to increase operational efficiencies
  • Must be able to multitask in a fast-paced, stakeholder-focused, highly confidential environment with an understanding of the mission, vision, role, and goals of the Dean's Office, SASN, and RU-N, and the role the tasks and responsibilities of this position play in the achievement of these goals

Consistent with the current application of Rutgers Policy 60.3.22 or the applicable provisions of relevant collective negotiations agreements, this position may be eligible for a hybrid work arrangement. Flexible work arrangements are not permanent, are subject to change or discontinuation, and contingent on the employee receiving approval in the FlexWork@RU Application System.

Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of administration, human resources, or payroll
  • A minimum of two years of relevant experience in an administrative function

Preferred Qualifications
  • Experience in higher education and in a unionized environment preferred
Equipment Utilized
  • Position regularly uses MS Office Suite, Cornerstone, ROCS, Box, PARS, HCM, EMS, E-Verify, Adobe products, and knows or will learn any and all systems RU uses for human resources, recruitment, payroll, absence reporting, time keeping, recruitment, information management, event management, and website and social media maintenance and updates, and knows or will learn the equipment, software, and specialized materials needed to support the effective and efficient performance of this position
