Job Description:

The Consultation Intake Specialist is responsible for providing support in a fast-paced work environment facilitating intake of new business inquiries specific to the San Francisco office, Construction & Real Estate Litigation group.

Location: San Francisco, CA

  • Communicate with potential clients via phone and email while managing the SF Intake outlook inbox
  • Schedule consultation appointments with potential clients on appropriate attorney calendars based on scope of work
  • Provide potential clients with needed intake tasks to complete via an automated intake form as well as link for payment related to consultation calls
  • Coordinate intake of potential client related documentation and store appropriately
  • Manage Smartsheet form throughout the consultation process updating status of intake, billing, and payment
  • Produce engagement letters
  • Obtain signature and finalize engagement letters using DocuSign
  • Process conflicts and new business intake forms
  • Prepare correspondence as directed by attorneys
  • Perform other duties as assigned

Job Requirements:
  • 3-5 years of relevant experience within a law firm setting.
  • Bachelor's Degree preferred. Work experience in lieu of a degree will be considered.
  • Excellent technical skills in MS Office including Outlook, Word, Excel, and PowerPoint.
  • Excellent judgment, communication, verbal and written, and interpersonal skills.
  • Ability to develop, maintain and manage professional contact attorneys and staff.
  • Strong organizational skills and attention to detail.
  • Strong customer service orientation.
  • Ability to work in a team environment.
  • Strong vocabulary, grammar, spelling and punctuation skills.
  • Must be a team player focused on client service.
  • Energetic.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Los Angeles, CA: $61,497 to $84,486.

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
