Pay Range: $20-25/hour

Job Summary: The Travel Coordinator is responsible for planning, organizing, and coordinating all aspects of business travel for Levy managers and supervisors supporting Levy locations within the Central Division. This role involves managing travel arrangements, ensuring compliance with travel policies, and providing support and guidance to travelers. The Travel Coordinator will work closely with various departments, vendors, and external partners to ensure seamless travel experiences.

The position is part-time with the opportunity to work full-time hours when booking travel for the Kentucky Derby, US Open Tournament, and NCAA Football!

Key Responsibilities:

  • Travel Planning and Booking:
    • Research and book flights, accommodations, transportation, and other travel services based on team member needs and preferences.
    • Develop and present travel itineraries, ensuring all details are accurate and comprehensive.
    • Secure the best possible rates and negotiate with travel service providers when necessary.
  • Travel Support:
    • Provide pre-trip briefings and travel documents, tickets, and confirmations.
    • Offer support during travel, addressing any issues or changes that may arise.
    • Assist with emergency travel needs and provide support for unexpected travel disruptions.
  • Administrative Duties:
    • Maintain detailed records of travel arrangements, expenses, and itineraries.
    • Ensure compliance with corporate travel policies and procedures.
    • Process travel-related expenses and reimbursements.
  • Vendor and Partner Relations:
    • Establish and maintain relationships with travel agencies, hotels, and other travel service providers.
    • Monitor and evaluate the performance of travel service providers.
  • Customer Service:
    • Serve as the primary point of contact for travel-related inquiries and concerns.
    • Provide exceptional customer service to ensure a positive travel experience.

Qualifications:

  • Experience:
    • Previous experience as a Travel Coordinator, Travel Agent, or in a similar role is preferred.
  • Skills and Competencies:
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Proficiency in travel booking software and online travel management tools.
    • Ability to multitask and manage multiple travel plans simultaneously.
    • Attention to detail and accuracy.
  • Other Requirements:
    • Flexibility to handle last-minute travel changes and emergencies.

Work Environment:

  • Office setting with work from home potential.
  • Regular business hours with potential for after-hours support as needed.
