Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

This position is responsible for executing a variety of complex, administrative, operational, and highly confidential duties that support and work alongside the Division Administrator, Medical Director, Business Operations Manager, and other members of the Community Health & Records Services Division to maximize the readiness, efficiency, effectiveness and compliance of the clinical and community services provided.

We Require

  • Three years of responsible clerical and/or administrative experience

  • High school diploma or GED

  • Must secure and maintain an Arizona Department of Public Safety Level 1 Fingerprint Clearance Card and complete a background check

  • Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire

  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test

Job Contributions

  • Provide administrative and operational support to the Division Administrator, Medical Director, and Program Managers

  • Complete various projects (calendars, program agendas, clinical academic rotations, new employee onboarding & orientations, leadership agendas, and various departmental and divisional tasks) and special assignments by establishing objectives, determining priorities, managing time and the collaboration of others, monitoring progress, problem-solving, and making necessary adjustments to plan

  • Monitor compliance with facility state licensure. Ensure that clinics comply with applicable state statutes and rules for licensure by conducting periodic inspections. Complete and coordinate annual license renewal applications.Ensure that all licensing is kept current in each appropriate software/site and consistently audit-ready

  • Support the mailroom when necessary, including covering for the mail courier when not in the office and ensuring that mail is received and distributed

  • Participate in project coordination, divisional special projects and in-service planning/preparation, asset management inventory maintenance. This may include traveling across multiple sites

  • Prepare and edit documents, reports, and presentations. Collect, review, and communicate necessary information. Compose written correspondence that is technical in nature with a high degree of clerical aptitude

  • Coordinate with human resources, facilities, logistics, communications, and all necessary departmental colleagues throughout Maricopa County and its community to further the department's vision, mission, core values, strategic initiatives, regulatory requirements, compliance, and any grant deliverables

  • Initiate ETI Help desk & Telecom tickets and monitor status to ensure timely and accurate completion.Coordinate Clinical Services and CHRS Division cell phone assignment with user and physically & electronically manage inventory

Working Conditions

  • The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions

  • Teleworking is not available for this position

  • Must be able to lift up to 20-25 lbs. occasionally, 10-25 lbs. frequently, or up to 10 lbs. constantly
