Job Summary and Essential Job Duties This position reports to the Beckman Institute Director and involves two areas of responsibility, each expected to represent approximately 50% of FTE. As Beckman Institute Administrator, working under the oversight of the Beckman Institute Director, this person carries out and/or oversees all aspects of Beckman Institute administration. Job duties include:
- Managing Beckman Institute budgets, programs, and space allocation in close collaboration with the Beckman Institute Director and Executive Committee.
- Organizing and managing regular reviews of individual and global Beckman Institute activities.
- Working with the Beckman Institute Director, establish and maintain connections with Caltech administration and faculty as needed to ensure efficient Beckman Institute operations and interaction with Caltech.
- Managing Beckman Institute personnel issues, including salaries, through collaboration with the Beckman Institute Director, HR, and individual direct supervisors.
- Supervising Beckman Institute administrative staff responsible for detailed budget and building management.
- Preparing annual reports for the Beckman Foundation Board and other reports as needed.
As Scientific Writing Specialist, this person collaborates with faculty and the Beckman Institute Director to become familiar with research conducted in the Beckman Institute and related research activities and collaborates on the preparation of letters of support, grants, proposals, and requests for funding. Job duties include:
- Maintaining expert familiarity with research programs and focus areas of the Beckman Institute and faculty working in related fields.
- Establishing connections with key Caltech departments (Development, Office of Sponsored Research, Foundation Relationships, Corporate Partnerships) and with outside funding sources to identify external funding opportunities in those areas.
- Proactively collaborating with faculty to develop strategies to compete effectively for funding opportunities, draft and edit proposals, and oversee the grant application process.
- Initiating and leading workshops aimed at increasing skills in science writing and communications and grantsmanship among Caltech graduate students and postdocs.
- Collaborating with the Beckman Institute Director, faculty, graduate students, and postdocs to provide editorial support on scientific manuscripts.
Basic Qualifications
- Bachelor's degree in a related field.
- At least 5 years of related experience.
- Record of academic publications and experience in the context of academic publishing.
- Excellent verbal and written communication skills, with a demonstrated ability to communicate effectively with both internal and external stakeholders.
- Previous experience in writing and success in obtaining grant funding and pre-award management.
- Excellent interpersonal skills and ability to work collaboratively, effectively, and tactfully with personnel at all levels.
- Strong organizational, analytical, and problem-solving skills.
- Able to work independently; initiative-driven; detail-oriented.
Preferred Qualifications
- Master's degree in a related field.
- Project management experience.

Hiring Range
$133,000 - $150,300 Per Year
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
