Duties and Responsibilities |
Summary:
The current work modality for this Position in an optional hybrid work environment where the employee has the discretion to work remotely two or three days per week.
Under general supervision, the Senior Financial Coordinator (
SFC) provides critical administrative and financial support for the Sponsored Program Accounting and Administration Teams. In addition, the
SFC will be responsible for compiling certain financial information and processing certain journal entries and budget amendments into various accounts.
The
SFC reports directly to the Director of Sponsored Program Accounting (
SPA) and Compliance, and is responsible for providing administrative, financial, and general accounting support to Department Management, Grant Administrators and Accountants. Such support will include, but not be limited to Grant and Contract policies and procedures, compliance, regulatory issues, and post-Award administration.
The person is expected to coordinate the distribution of routine sponsor billings and reports as required by the terms and conditions of various sponsor agreements. In addition, the position will also assist in other various administrative, financial, and accounting support activities including, but not limited to, central Department communications, managing departmental intake, distribution of electronic workflows, journal entries and budget amendments, account authorization records, and miscellaneous reconciliations and analysis.
Duties:
- Provide administrative, financial, and accounting support for all sponsored projects.
- Responsible for all SPA intake and internal distribution of incoming correspondence; maintaining the integrity of internal workflow management.
- Manage Award, invoice and report tracking in the central SPA Hub.
- Assist in setting up new Grant and Gift Accounting Units by updating award profiles, maintaining award files, updating approval authorization forms and initiating pertinent communications to relevant departments.
- Assist in the preparation of new LSC Faculty Start-up Award Accounting Units.
- Review, reconcile and process journal entries and budget amendments to ensure completeness, timeliness and accuracy.
- Coordinate billings and sponsor invoicing with Grant Administrators and Accountants, including Chicago Public Schools invoicing and receipting tracking and distribution.
- Maintain the account close-out log and perform close-out procedures such as procurement card inactivation and maintenance of SPA closed files.
- Assist in the coordination of the processing of payroll forms received from various Departments that are to be used for Time and Effort reporting.
- Responsible for the ongoing review and approval of incoming Approval Authorization forms, ensuring completeness and accuracy. Coordinate security access with the Financial Systems team.
- Responsible for the reconciliation of monthly Procurement Card transaction documentation requirements.
- Assist in coordination, distribution and reconciliation of the periodic effort reporting process.
- Work as a Team member to successfully complete quarterly and annual financial processes and to meet fiscal year close requirements.
- In addition to daily Grant administrative and financial functions, this position will be responsible for various projects as assigned by Department Management in efforts to enhance SPA's processes and procedures.

Minimum Education and/or Work Experience |
Bachelor's Degree in Accounting, Finance or related field required. Three to five years of related experience in a computerized financial environment. |

Education/Experience/Skills:
- A Bachelor's Degree in Accounting, Finance, Business or related field from an accredited 4-year University along with two to four years of Accounting or related experience is preferred.
- Individuals must be able to engage in and foster a culture of collaboration and respect. The ability to work with cross functional Teams in the Research enterprise is critical to establishing effective dialogues, policies, procedures and guidelines.
- To perform this job successfully, an individual should have extensive knowledge of the Microsoft Office package (Excel, Word, OneDrive, Teams, and Outlook). Advanced proficiency in information/database management and ad-hoc reporting tools is a plus. Familiarity with financial systems and the use of supporting software programs is preferred. Knowledge of Lawson and WebFocus is a plus.
- Individuals with either pre- or post-Award administration or grant life-cycle experience are encouraged to apply. Working knowledge of non-profit cost principles, including federal OMB 2 CFR 200 Uniform Guidance is also a plus. Strong verbal and written communication, interpersonal, analytical, and problem-solving skills are required. Ability to analyze and interpret financial reports, and Grant and Contract Agreements.
