Primary Purpose of Position |
The Office Manager plays a key role in the Student Centers department at
UNC Charlotte, overseeing administrative functions and supporting student services. Responsibilities include administrative support, customer service, student employee management, budgeting, systems administration, departmental projects, and office inventory. The Office Manager also assists with the reception area at the Cone University Center and contributes to the daily operations of the department. Knowledge of event, departmental, and University policies is essential, and the role includes supervising student employees as needed. |
Minimum Education/Experience |
Required Minimum Qualifications:
Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.
University Preferred Qualifications:
Graduation from high school and demonstrated knowledge, skills, and abilities gained through three years of specialized office experience or an equivalent combination of education and experience. |
Essential Job Duties |
- Department Operations: Under the direction of the Director, provide administrative support to Student Centers department (Student Centers department includes Cone University Center, Popp Martin Student Union, NinerTech Computer Store, and the Charlotte Esports Program); coordinate office support activities and work with other staff in support of managing the Cone Center operations; provide backup for Student Receptionists; assist facility Associate Directors with key management and record keeping; assist with and support other department operations when required or requested.
- Project Management: Coordinate administrative projects under direction of department leadership; assist in training and recognition initiatives; coordinate department participation in campus events (e.g., tabling, resource fairs).
- Student Personnel Management: Collaborate with the Cone Center Assistant Director on training and workflow for Student Receptionists/Information Desk Attendants; participate in the Student Employee Experience Program, including interviewing, training, and supervising students; provide backup for student WebTime approvals.
- Office Records: Establish and maintain a comprehensive filing system for payroll, personnel, budget, contracts, and project files; implement records management processes in alignment with department standards and submit reports timely.
- Purchasing/Financial: Assist with purchasing through the university system (49erMart); manage supply inventory; manage department annual contract/vendor information; coordinate financial and budget documentation and processes; prepare travel paperwork and check requests; review invoices for accuracy.
- Customer Service: Foster strong customer relationships; uphold department service standards; model customer service and professionalism and ensure student employees receive training and feedback to uphold department service standards.
- Systems Administration: Manage department systems and applications (e.g., 7PointOps, Trafsys); oversee the Student Centers websites.

Other Work Responsibilities |
- Manage social media accounts when needed; create and maintain department-wide communication and external communication methods when needed.
- Other duties as assigned by the Director in support of the mission of the Student Centers department.

Departmental Preferred Experience, Skills, Training/Education |
- Office management experience needed with two or more years of preferred experience in Student Centers or similar university environment a plus.
- Experience providing a high level of customer service and demonstrated ability to develop collaborative relationships.
- Strong verbal and written communication skills.
- Strong organizational skills, ability to manage multiple tasks at once, and attention to detail with accuracy.
- Experience in working with student employees and/or student leaders, experience leading or managing student workers preferred.
- Experience using budgeting/financial systems within a university or large company setting.
- Proficient in MS Office/Google environment and comfortable learning specialized systems and applications.
- Previous experience in website administration, or social media account management, a plus.
