Organizational Unit Overview
NC General Statute Chapter 116, Article 29A (116-239.5) provided for the establishment of eight university laboratory schools with the mission of "improving student performance in local school administrative units with low performing schools by providing an enhanced education program for students residing in those units and providing exposure and training for teachers and principals to successfully address challenges existing in high need school settings. The laboratory school shall provide an opportunity for research, demonstration, student support, and expansion of the teaching experience and evaluation regarding management, teaching and learning."
Job Duties
Safety and Records Administration (25%):
-Monitor and facilitate daily operations to ensure school-wide safety to include:

  • Ensuring that all Community School personnel, including volunteers, are vetted via criminal background check and fingerprinting, as necessary.
  • Ensuring that all necessary personnel have 1-card access to the two doors at the Lab School.
  • Ensuring that school staff are fully trained, according to SafeSchools required training modules.


-Manage maintenance of facilities, including construction, installation, delivery, and repairs to include:

  • Collaborating with and Facilitating the work of personnel at both ECU, PCS, and SGE.
  • Planning for and managing all construction, installation, delivery, and repair work to ensure that jobs are completed efficiently.
  • Develop, Implement, and improve all operational processes and procedures to increase efficiency.

Communication (20%):

  • Serve as a point of contact for operations, including contractors and vendors.
  • Respond to emails and phone calls, contacting necessary parties as needed.

Purchasing and Inventory Management (25%):
-Manage ordering of all instructional materials and other school supplies using ProCard and/or PORT:

  • Process requisitions and purchase orders through PORT.
  • Collaborate with instructional staff to ensure delivery of all required instructional items.
  • Collaborate with school staff to ensure effective inventory levels for consumable items.
  • Track ordering, including receiving and payments.

-Maintain positive relationships with vendors through frequent communication.
-File monthly ProCard purchase reports through ChromeRiver, weekly when necessary.
-Maintain a thorough school inventory of all supplies and assets to include:

  • Furniture inventory, including conditions related to warranty and repair.
  • Book inventory.
  • An inventory of all items stored at the ECU warehouse.
  • A comprehensive record of all non-consumable items purchased.

-Plan and Prepare the campus for start-up/new school year by ordering furniture, equipment, and classroom/office supplies as well as ensuring that school services are lined up and ready for action.

Business and Finance Assistance (20%):
-Assist Financial Service Coordinator with business and finance work for Community School to include:

  • Editing and submitting monthly operating ledger, accounts payable, and payroll reports to DPI in collaboration with Business Systems Analyst in Systems Coordination.
  • Processing travel for Community School staff.
  • Facilitating registration for professional development activities.
  • Maintaining paperwork related to Community School operations via school's sharedrive and physical files.
  • Processing monthly billing to include:

    • Providing monthly attendance counts and billing for local ADM to PCS in collaboration with the Administrative Assistant at Community School.
    • Billing ECU Health Services for monthly Speech and Language Services in Banner and Xtender using journal voucher.
    • Ensuring PCS gets paid for modular unit by billing ECU in PORT.
    • Ensuring PCS gets paid for quarterly invoices by billing ECU in PORT.
    • Depositing any checks received in Banner.


  • Assisting Financial Services Coordinator with expenditures and budget-related issues where needed.
  • Improving timelines for district level reporting and operational deadlines.
  • Participate in weekly and monthly meetings and webinars.
  • Register for and read weekly and monthly newsletters.

Complete all other duties assigned by supervisor

Advisory Board Secretary (10%):
-Serve as primary point of contact for all Advisory Board members and any other interested parties.
-Coordinate with Advisory Board Chair to schedule quarterly meetings.
-Create and edit agenda as necessary prior to each meeting as well as the creation of the presentation to the board.
-Email all board members meeting schedule and necessary documents prior to each meeting.
-Create and issue press release to local media one week in advance of each meeting.
-Assist with facilitating the running of each meeting whether in person or virtually to include:

  • Providing copies of all necessary paperwork and name tags when needed.
  • Taking and editing minutes of each meeting.
  • Create work order requests to update the website with Advisory Board policies and information, including publishing minutes from each meeting.

Minimum Education/Experience
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
License or Certification required by statute or regulation

Preferred Experience, Skills, Training/Education
Experience in secondary education; public school experience preferred.
Experience working with external vendors.
Experience working in operations management.
Computer skills including experience using Banner, PowerSchool, MS Outlook/Word/Excel
License or Certification required by the Department
