POSITION SUMMARY:

We are seeking a talented and detail-oriented
Accounts Payable Specialist to join our dynamic finance team. In this role, you
will be responsible for managing and processing all accounts payable
transactions, ensuring accuracy and timely payment to vendors. This person
needs to be a self-motivated individual with a strong ability to improve
processes and build effective cross-functional relationships.
DUTIES & RESPONSIBILITIES:
  • Payment
    processing - preparing weekly payment batches accurately and timely and
    ensuring all payments are in accordance with purchasing policies and procedures.
  • Maintaining
    schedules to track and ensure monthly vendors are paid on time.
  • Contacting
    vendors to obtain necessary documents needed to process invoices and payments,
    such as W9s, payment/bank details or other items.
  • Reconciling
    and reviewing AP aging reports, including following up closing on any open AP
    invoices.
  • Processing
    Concur batches on a bi-weekly basis to ensure expenses are reimbursed in a
    timely matter.
  • Updating
    vendor account information.
  • Maintaining
    Accounts Payable documentation and support records & files.
  • Accurate
    processing of 1099s annually.
  • Responsible
    for processing purchase orders (POs), including obtaining all needed approvals,
    maintaining PO records in accordance with all purchasing policies.
  • Assists
    the accounting departments with monthly close as needed
QUALIFICATIONS:
Education,
Experience, and Competencies
  • Associate's degree or equivalent
  • Minimum 3 or more years' experience working with accounting
    transactions
  • Experience in ERP software, Microsoft Dynamics 365 preferred
  • Demonstrated intermediate skills with MS Office
  • Bank Reconciliation experience preferred
  • Good interpersonal and written/oral communication skills
    with the ability to relate well and cooperate with others to effectively
    coordinate activities and accomplish goals
  • Proficient data entry skills with a high accuracy rate
  • Demonstrated ability to identify and understand issues to
    resolve A/P inquiries and develop appropriate solutions quickly and effectively
  • Demonstrated ability to apply attention to detail when
    performing tasks and researching discrepancies
  • Ability to manage various tasks in fast paced environment
  • Ability to work autonomously within established procedures
    and practices
  • Flexibility and Adaptability to help achieve common team
    and/or company
    goal by request and/or by self-observance
  • Reliability in areas of attendance and meeting deadlines
  • Ability to organize and prioritize assignments with
    excellent file maintenance
Physical Demands and
Environmental Factors:
  • Flexibility and ability to work non-standard business hours.
  • Ability to work in an office environment as well as in a remote
    home office environment
  • Own method of transportation to and from work.


  • Constant
    ability to remain in a stationary position, move about inside an office or
    remote setting.
  • Push,
    pull, lift or carry at least 10 lbs. on occasion: minimal kneeling,
    bending and squatting.
  • Able
    to perform repetitive motion with wrist, hands, and fingers.
