Job Description

Scope of Position

The Administrative Process and Support Technical Analyst plays a key technical role in supporting our National Accounts and possibly other administrative teams in achieving strategic goals and initiatives. This role assists with putting together business reviews, onboarding new national customers, processing recurring customer reports, and working cross-functionally to complete price adjustments, as well as a wide array of tasks related to company sales efforts. A key component of this role is working to review administrative processes and identify opportunities for improvement with the goal of optimizing customer satisfaction.

Duties and Responsibilities



  • Document administration processes and procedures across various functions and evaluate said processes to identify and implement improvements.
  • Complete pricing analysis, make necessary notations & communicate pricing details to stakeholders.
  • Analyze data and price files to prevent loading of inaccurate pricing information, create ad hoc reports & run audits.
  • Communicating with branch/field personnel to ensure proper implementation of non-standard/custom service programs.
  • Conduct data compilation projects for catalogs, rebate programs, price adjustments, customer business reviews.
  • Onboard customer & assist with their set-up completion; ensure that all required documentation has been submitted & that system(s) can be accessed. Attend any onboarding related meetings that arise.
  • Audit customer file(s) to ensure all information is accurate and complete.
  • Collaborate on the management of assigned national accounts by working cross-functionally to address dynamic customer requirements.
  • Maintain team's shared inbox & execute interdepartmental requests submitted therein.
  • Assist with research & verification activities related to order holds.
  • Automate the generation of a variety of reports needed on weekly, monthly, quarterly & annual basis.
  • Prioritize customer inbox inquiries to ensure all items are addressed in a timely manner.
  • Handle variety of other duties as assigned based on business needs.
  • Assist in the creation and maintenance of dashboards to track and monitor key performance indicators (KPIs).



Skills and Qualifications



  • Advanced Computer Skills: Expertise in spreadsheet management (pivot tables, complex formulas, macros) and data analysis techniques. Proficient in Oracle databases, including data extraction and manipulation for reporting and insights.
  • PowerPoint Expertise: Strong skills in Microsoft PowerPoint to create visually compelling presentations for internal stakeholders and customers, including business reviews, performance analysis, and reporting.
  • Time management and organization: These professionals use a variety of organization methods, including calendar management, to handle multiple projects at one time and completing tasks efficiently and quickly.
  • Customer service: Should have strong professional conversation etiquette, especially in person and over the phone when interacting with company representatives, clients and customers.
  • Communication: Clear communication and the ability to explain concepts in simple terms that are used to help the customer work through problems and accurately describe products.
  • Problem-solving: Should be able to use critical and creative thinking to identify and resolve issues with products and orders.
  • Strong attention to details with ability to recognize and correct discrepancies with items on invoices & in communications
  • Pro-active approach to task completion with ability to triage customer requests with a sense of urgency
  • Experience: 1-3 years of prior experience in a sales support or analytical role is strongly preferred.



Education



  • Bachelor's degree in information systems, Computer Science, Computer Engineering or a related field.



Physical Requirements



  • Ability to sit and/or at designated workstation for extended periods of time.
  • Ability to lift up to 10 lbs occasionally in order to retrieve materials.
  • Clear verbal communication skills needed to answer customer inquiries & provide information via telephone.
