At Hamilton Families, our mission is to end family homelessness in the San Francisco Bay Area. Since 1985, we have been meeting the most urgent needs of unhoused families in our community. Our programs specialize in preventing family homelessness when possible, providing shelter and transitional housing to families in times of need, supporting the wellbeing and academic achievement of children who experience homelessness, and quickly returning families to safe and stable housing throughout the Greater Bay Area. What You'll Do

We're excited to be adding a Data Systems Administrator to our growing team! This is an engaging and rewarding opportunity that plays an integral role within the organization. We are looking for someone who is passionate about working with our participants and contributing to the fight against homelessness. The Data Systems Administrator will report directly to the Chief Program Officer and be part of the Data & Evaluation team. This role will act as the primary administrator of Hamilton Families' data management system to coordinate the collection, storage, and retrieval of participant and program-level data.

What Your Day Looks Like

  • Serve as the primary Salesforce administrator for 70+ users
  • Lead the Salesforce Upgrade project, managing timelines, vendor relationships, and integration with systems like DocuSign, Conga, Classy, and Form Assembly
  • Maintain Salesforce and integrated tools (e.g., Dialpad, Microsoft), ensuring performance, security, and compliance
  • Conduct regular backups, restores, and disaster recovery to safeguard data
  • Troubleshoot and resolve system performance issues
  • Collaborate with developers to optimize databases, queries, and interfaces
  • Maintain documentation for system configurations and troubleshooting
  • Implement data system best practices, including privacy standards and archiving
  • Create customized reports and dashboards for informed decision-making
  • Curate and manage data for compliance, reporting, marketing, and education
  • Ensure data system integrity, security, and functionality through regular updates and integrations
  • Manage user access and permissions, ensuring proper roles and security
  • Perform routine admin tasks, such as managing configurations, workflows, and data imports/exports
  • Support data quality by identifying duplicates, troubleshooting updates, and creating reports
  • Provide training and ongoing support to users on system features and updates
  • Develop and deliver training materials for staff
  • Collaborate with teams to improve forms, surveys, and tools for data collection and program evaluation
  • Oversee the integration and automation of cloud-based tools with Salesforce
  • Analyze data to guide service evaluation, program development, and strategic planning
  • Gather user feedback for system improvements and assist with data migration
  • Stay current on Salesforce features and recommend new functionalities
  • Perform other duties as requested

What Makes You Successful in This Role

  • Proven track record of designing and implementing new processes and facilitating user adoption
  • Passion for database design and data integrity
  • Knowledge of statistical analysis software and using data to measure and evaluate preferred outcomes
  • Ability to work and collaborate with a diverse group of people on projects and making decisions for the benefit of our participants
  • Highly organized, self-motivated, and capable of working independently to meet goals
  • Demonstrated ability to exercise appropriate judgement and uphold policies and procedures

What You Bring

  • 2+ years of data management experience, preferably in the non-profit sector
  • 3+ years of experience using Salesforce
  • Bachelor's degree from an accredited college/ university or equivalent work experience
  • A background in working with nonprofit organizations, social services organizations, or community-based programs
  • Salesforce Administrator Certificate
  • Proficiency with Excel, including formulas, filtering, and data formatting
  • Adept with multiple software systems and willing to learn new products
  • Ability to travel locally and long distance to meet with vendors and participants
