Job Summary

Coordinate instructional support activities at the Veterinary Medicine Teaching and Research Center (VMTRC); process monthly accounts receivable client invoices, handle accounts payable activities, process travel and entertainment reimbursement reports, and actively provide support in numerous and varied administrative responsibilities. Process student hires for faculty research projects. Assist with visa processing requests for international students and scholars. Assist department by backing up co-workers and helping with projects as needed. Incumbent provides assistance to the Director, Principal Investigators, Clinicians, as well as to research and administrative staff.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • At least 3 years of experience with accounting and financial administration: Accounts Receivable, Accounts Payable and Purchasing.
  • Experience using advanced features of Microsoft Office software products, including but not limited to: Word, Excel, PowerPoint.
  • Demonstrate competence in using computers for Word processing, calendars, and managing email.
  • Strong oral and written communication skills to effectively communicate, both in person and in writing with ability to maintain a customer service focus across broad and diverse subject areas.

Preferred Qualifications

  • Experience maintaining confidentiality and secure records relevant to financial transactions, student records and other sensitive documents.
  • Experience making travel arrangements, booking flights, hotels and registering for conferences.
  • Knowledge of UC policy and procedure guidelines for financial and business services.
  • Interpersonal skills to interact effectively and maintain excellent working relationships with faculty, staff, graduate and undergraduate students, vendors and various campus service units to accomplish job functions.

Department Overview

Incumbent works in an independent matter, provides assistance to the Director, Administrative Manager, Principal Investigators, Clinicians, as well as to research and administrative staff. The VMTRC is an integral part of the UC Davis School of Veterinary Medicine and is a leading educational and research organization for dairy production medicine and herd health. The location in Tulare County with operations and clinical activities extending into the surrounding counties provides the School with access to an abundant number of large commercial livestock operations featuring large herd sizes as well as milk and beef processing facilities. The VMTRC consists of 147 acres, 77,000 square feet of existing laboratory, classroom, office & clinical space, agricultural structures, and animal facilities.

Work Environment
