About Worldwide Research and Development
From research and discovery to post-market clinical development, our WWRD engine involves all bench and clinical research and the associated groups that support those endeavors. Our teams work on developing first-in-class and best-in-class therapeutics that provide meaningful advances to patients who live with genetic diseases.
Reporting to the Group Vice President and Head of R&D SMO, the Executive Coordinator will be responsible for providing administrative support to the GVP, SMO and support for other senior SMO leadership (LT members) as needed or requested. The Executive Coordinator will also work alongside the other SMO Executive Coordinator to provide back-up support for each other as needed and will communicate and work effectively with one another to help achieve R&D goals and objectives.
The Executive Coordinator assignments will be varied in nature, often requiring exercising judgment, maintaining strict confidentiality, creativity, and discretion in resolving issues. This individual must be a self-starter and be able to manage multiple priorities with high quality outputs in a continually changing environment with minimal guidance.The ideal candidate will have strong grasp of computer software and technology, with the willingness to develop skill sets in business planning,acumenand operational support. The individual will be amotivated self-starter with a high level of commitment, ownership, and strong sense of urgency.

The Executive Coordinatorwill be responsible for the following:
- Calendar management:
- Proactively identifying and resolving calendar conflicts and identifying and proposing opportunities for "focus time."
- Scheduling meetings/rooms for meetings with multiple cross-functional stakeholders or as requested.
- Meetings/logistics:
- Coordinate logistics for meetings including SMO Leadership Team (LT) meetings, department meetings, and All Hands meetings. Includes managing calendar invites and reserving conference rooms, preparing slide deck presentations, coordinating logistics and content with presenters, review slide presentations for formatting, grammar, and consistency prior to finalizing presentation. Provide support during meeting to project slides, monitor for questions, and take minutes as needed.
- Coordinate the logistics for SMO LT offsite meetings. Assist with booking travel/hotel, securing hotels and/or conference rooms, and catering needs.
- Schedule and coordinate logistics for team building events as requested.
- Coordinate catering needs for meetings/events
- Travel & Expense:
- Coordinate global travel for assigned LT members
- Prepare expense reports for assigned LT members
- Reserve office space for internal office visits (San Rafael, London) for assigned LT members
- Subject Matter Expert for BioMarin's Travel & Expense policy and Concur
- Other:
- Proficient in Microsoft Office Suite and able to create and edit slide presentations, excel files, etc. with guidance on content
- Proficient in Microsoft Teams, including setting up and maintaining folders and workspaces
- Draft, route and mail standardized contracts and/or letters in support of R&D programs
- Partner with IT for timely resolution of IT-related issues
- Maintain Outlook distribution groups for SMO functions
- Responsible for content and maintenance of the SMO SharePoint (BioWeb)
- Maintain Org Charts for SMO functions
- Onboarding support (equipment, space planning, etc.) with new hires as needed or requested
- Provide support with cost center management as needed (e.g., accruals, reporting, etc.)
- Subject Matter Expert on BioMarin procedures and policies relating to administrative tasks
In addition to being professional and courteous, the Executive Coordinator must possess:
- Strong calendaring skills and meeting planning capabilities; able to identify when meeting schedules are not sustainable and work with assigned LT members to achieve a manageable schedule
- Communicates succinctly and effectively
- Ability to remain calm and collected under pressure; does get easily rattled by challenging situations
- Responsiveness to deadlines, strong attention to detail, and able to multitask
- Independent judgment and discretion with sensitive/confidential and proprietary information
- Can-do attitude, ability to be flexible and adaptable
- Ability to prioritize and act on "ad-hoc" requests
- An openness to responding to requests outside of normal business hours (e.g., an LT member is on international business travel and requires urgent assistance)
Requirements:
- Proven ability to perform at the Executive Coordinator level
- A minimum of 10 years of executive level support and office administration
- Strong PC computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), Concur expense reporting, Power BI
- Bachelor's Degree preferred

In the U.S., the salary range for this position is $ 88,000 to $ 132,000 per year, which factors in various geographic regions. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A discretionary bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
