The Board Engagement and Donor Strategy team supports our interactions with the most influential and impactful alumni to ensure they are actively involved in and supporting the school. Reporting to the Associate Director, Campaign Management, the Program Coordinator is responsible for helping create, coordinate, support, and track alumni and prospective donor activities with the dean and other senior leaders, including: collecting and prioritizing requests, drafting communications, strategizing meeting logistics, managing calendar appointments, finding and obtaining relevant information, organizing and vetting key prospect lists, preparing briefings and bios, entering contact reports, updating reports, and tracking next activity steps. They will be motivated by being a part of a vibrant and successful team whose mission is to exceed fundraising goals during and after the campaign.

Specific Responsibilities:

Administration

  • Supports and coordinates the day-to-day operations of the dean alumni, and donor strategy team
  • Supports all program, project, team, and individual dean alumni and prospective donor activity-related needs
  • Ensures logistical coordination, preparation of background and other meeting materials, and confirmations of invited meetings
  • Organization and vetting of multiple lists of alumni, prospective donor, and donor names
  • Supports dean-related fundraising campaign events
  • Liaison/point person/representing us to other internal units to tighten coordination on alumni/prospect campus activity, schedules, and itineraries
  • Contact record entry and data management and updates data for accuracy
  • Ensures that program/project mission, values, guidelines, policies and procedures are implemented and maintained.
  • Manages design and development of program databases; compiles and analyzes data; prepares reports.
  • Reviews processes and recommends changes to incorporate novel approaches and processes for administrative and data management
  • Identifies service improvement opportunities that will better enable program/projects to achieve its goals and objectives.

Communication, Outreach & Recruitment

  • Drafts top prospect/donor-facing communications.
  • Automated manual updates to reports of dean activity, visits/last steps/next steps.
  • Creates dean-facing communications and documents representing gift strategies, engagement activity, initiatives, plans, and related details.

Miscellaneous

  • Performs other duties as assigned.

Minimum Qualifications: (Education, experience, and any other certifications or clearances)

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 1 year program/project administration or other relevant experience.

  • Agile at learning new software programs, including Northwestern University and Kellogg- specific technologies, and ability to troubleshoot efficiently

Preferred Qualifications: (Education and experience)

  • 3 years program/project administration highly preferred
  • 3 years supporting multiple individuals in a dynamic, high volume, fast-paced environment
  • Experience in fundraising, development, alumni relations and/or higher education
  • Experience managing meetings and creating and distributing relevant preparatory data and materials

  • Ability to anticipate the needs of stakeholders and make recommendations based on real-time and cumulative knowledge of department activity
  • Ability to map activity across the department to offer solutions and create efficiencies
  • Ability to see the big picture and understand our goals in order to achieve the desired outcome
  • Ability to synthesize information quickly and see points of convergence
  • Advanced knowledge of Microsoft Office Suite and ability to troubleshoot technology

Target hiring range for this position will be $60,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
