General Information:

The Fiscal Specialist supports the mission of the Center for Global Engagement (CGE) by monitoring department financial activity, maintaining internal financial records and compliance, reconciling accounts, assisting customers of the Passport Acceptance Facility, and processing a variety of accounting transactions.

The CGE promotes access, inclusion, and diversity for all students, faculty, staff, constituents, and programs. The university is interested in candidates whose experience and qualifications support an ongoing commitment to this core quality.

Duties and Responsibilities:

* Working with financial activity within multiple Education and General (E&G) budgets, grants, auxiliary, and local accounts
* Process accounting vouchers, accounting transaction vouchers, budget revisions, deposit transmittal forms, and other departmental accounting documentation
* Order, process, track and distribute departmental meal vouchers and Duke card
* Collect and organize departmental financial documents and reconcile budgets
* Provide support and guidance to the CGE faculty and staff on budgeting and fiscal policies/procedures
* Serve as the customer contact and Department of State certified agent for the Passport Acceptance Facility
* Represent and respond on behalf of the CGE to a diverse array of campus constituents and external partners regarding fiscal practices, issues, and/or resolutions

Qualifications:

Required Qualifications:
* Previous related financial or clerical experience
* Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook, Teams)
* Proven attention to detail, resourcefulness, and time management skills
* Excellent written and oral communication skills with the ability to interact effectively and professionally with multiple customer bases
* Robust interpersonal and intercultural competency skills
* Must be able to meet U.S. Department of State requirements to be a Passport Acceptance Agent

Additional Considerations:
* Previous customer service experience is advantageous
* Knowledge of PeopleSoft and Terra Dotta platforms is highly desirable

To be a passport acceptance agent for the U.S. Department of State, you must:
* Be a U.S. citizen
* Be at least 18 years old
* Not be presently on parole or probation related to any Federal, State, or local felony or misdemeanor related to breach of trust or moral turpitude
* Not be presently under indictment for any Federal, State, or local felony or misdemeanor related to breach of trust or moral turpitude
* Be free of any Federal, State, or local felony convictions or misdemeanor convictions related to breach of trust or moral turpitude
