Job Title: Receptionist Job Description:

We are looking for a professional and detail-oriented Receptionist to join our construction company and serve as the first point of contact for clients, vendors, and team members. This role requires strong communication skills, adaptability, and the ability to manage daily administrative tasks in a fast-paced environment. The ideal candidate will be comfortable handling busy days with multiple priorities while also staying productive during slower periods.

Key Responsibilities:
  • Answer and manage a multi-line phone system, directing calls to the appropriate departments (project managers, estimators, site supervisors, etc.).
  • Greet and assist visitors, including subcontractors, vendors, and clients, ensuring a professional and welcoming experience.
  • Perform data entry, filing, and scanning to maintain organized records of project documents, permits, invoices, and contracts.
  • Handle ad hoc administrative duties, adjusting to daily workflow-some days may involve high call volumes, while others may focus on document management.
  • Assist with tracking and distributing incoming and outgoing mail, packages, and deliveries for the office and job sites.
  • Support the office team with scheduling meetings, coordinating site visits, and managing office supplies.
Qualifications & Skills:
  • Prior experience as a receptionist, administrative assistant, or office coordinator, preferably in the construction or trade industry.
  • Strong verbal and written communication skills with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction management software is a plus.
  • Ability to multitask and stay organized, handling both high-traffic days and quieter periods efficiently.
  • A team-oriented mindset with a proactive and adaptable approach to office tasks.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
