Academic Secretary for the Lynch Disability Resource & Cultural Center (LDRCC)

Beginning February 2025

POSITION SUMMARY. Loras College seeks a reliable, engaging, and collaborative individual to serve as the Academic Secretary for the Lynch Disability Resource and Cultural Center (LDRCC). The Academic Secretary supports the Center's three full time staff members and engages regularly with Loras College students, faculty, staff, and families, as part of a vibrant office that provides an accessible and inclusive environment for individuals with varying needs and abilities. The Academic Secretary reports to the Director of the LDRCC and provides a range of support, including answering phone calls, coordinating and proctoring exams, creating and distributing correspondence, maintaining student files, answering general questions, and welcoming visitors and prospective students and their families.

Job Duties and Responsibilities:

The Academic Secretary for the LDRCC



  • Coordinates, administers, and monitors exams in the LDRCC.
  • Schedules on campus or virtual meetings with potential students and their families.
  • Ensures student files are complete and current.
  • Inputs student data into the Accommodations Information Management (AIM) system.
  • Communicates clearly and effectively with students, parents, colleagues, external vendors, faculty and staff via telephone, email, mail, and other written correspondence.
  • Files correspondence, student information, and documentation appropriately. Maintains files and records.
  • Ensures office copier/scanner/fax is functioning properly.
  • Receives and screens visitors and telephone calls. Notifies staff members and relays messages in a timely manner.
  • Distributes incoming mail to appropriate personnel.
  • Creates and assembles visual presentations, spreadsheets, reports, and other documents as required by LDRCC staff.
  • Assembles, tabulates, calculates, and maintains reporting, financial and statistical data.
  • Performs miscellaneous clerical and secretarial tasks, including revising and creating departmental documents.
  • Independently resolves requests, complaints and problems or refers them appropriately.
  • Oversees office supplies, communicates to the Director the need to order supplies.
  • Maintains familiarity with campus resources and shares resource/contact information with current/potential students and their families.
  • Promotes goodwill and conveys a positive image of the College.
  • Assists other area personnel as needed.
  • Keeps management informed of area activities and of any significant problems.
  • Maintains confidentiality.
  • Keeps management properly apprised of the status of projects and ensures that deadlines are met.
  • Ensures that the work area is clean, secure, and well maintained.
  • Supports the mission and vision of the College and respects the College's Catholic tradition.
  • Performs related duties as assigned.


POSITION QUALIFICATIONS.

Education: High School Graduate or General Education Degree (GED) required.

Experience: Two to four years of general secretarial experience is desired.

Other Requirements: Good knowledge of secretarial practices and procedures. Above average knowledge of English, grammar, sentence structure, spelling, and punctuation. Ability to establish and maintain effective working relationships with faculty members, students, professional staff, administrators, and vendors. Ability to handle confidential work with tact and discretion. Ability to problem solve and resolve issues independently. Ability to adapt to work pressure and meet deadlines. Good organizational and self-management skills. Ability and willingness to continue professional development.

Loras College's 60-acre campus is located on one of Dubuque's highest bluffs, overlooking the Mississippi River at the junction of the states of Iowa, Illinois, and Wisconsin, about 3 hours west of Chicago. Dubuque's population is approximately 60,000 and its nineteenth century architecture is woven into limestone bluffs and provides a picturesque backdrop to the river landscape. Many residential and commercial areas have been designated as historical districts to preserve Dubuque's unique heritage. Its strong education base supports numerous cultural activities, and in addition, there are sporting events, shopping facilities, schools, and churches that are convenient to its residents. The climate has marked seasons with a comfortable summer, cool spring and fall, and a winter that encourages a variety of sports that have in recent years attracted a growing tourism industry.
