TITLE

Assistant Director for External Relations, Athletics

JOB SUMMARY

The Assistant Director for External Relations works closely with corporate partners, alumni and community stakeholders to enhance the university's athletic development efforts and maximize revenue through sponsorships. The Assistant Director must be able to develop relationships which result in support for TWU's athletic programs and result in sponsorships. The Assistant Director has primary responsibility for the development and functioning of fan club/booster/supporter organizations including the TWU Pioneer Club, ensuring compliance with the University, the Lone Star Conference and applicable NCAA rules for any agreements and /or organizations. This position will also work closely with all Student Life departments to increase corporate / community partnerships. The Assistant Director may also work closely with Advancement in fundraising activities pertaining to the identification, cultivation, solicitation and stewardship of donors and prospects with an emphasis in Athletics. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Executive Director of Athletics

Supervises: No supervisory responsibilities

ESSENTIAL DUTIES - May include, but not limited to the following:



  • Manage the day-to-day marketing and sponsorship sales functions for the Department of Athletics and the Student Life Division.
  • Develop and implement external relations strategies to enhance visibility and reputation of the athletics program.
  • Manage the annual Pioneer Club membership drive, focused on recruiting and retention of members.
  • Manage an annual fund portfolio.
  • Lead fundraising campaigns, identify sponsorship opportunities, and maintain relationships with key donors.



  • Engage with Pioneer Club members over the phone and in person on annual gifts, membership benefits and other operations of the annual fund. Provide a high level of service to all Pioneer Club members and potential members.



  • Build and maintain relationships with alumni, community leaders and corporate sponsors.
  • Manage the annual Pioneer Invitational Golf Tournament.
  • Assist with the planning and execution of the TWU Athletics Hall of Fame event.
  • Responsible for the execution of special events that include Pioneer Club, alumni and university stakeholders (i.e. tailgates at events).
  • Assist Executive Director of Athletics and respective Coaches with alumni fundraising events and programs for each sport.
  • Position requires frequent development of contracts, memorandums, and agreements related to athletic development efforts to support the department.
  • Work cooperatively with TWU Advancement team, Executive Director for Athletics, Vice President for Student Life and/or Chancellor for cultivation of major gifts and adherence to established gift processing guidelines.


ADDITIONAL DUTIES



  • Implements Athletics' strategic plan as part of the Division of Student Life's strategic plan.
  • Assist as needed with student life events in the development of sponsorships which could include TWU Block Party, TWU Family Weekend, TWU Sibling Weekend. Other sponsorships can include TWU Student Life areas including Minerva's Market, Student Success and Retention and Career Connections.
  • Performs other duties as requested.


EDUCATION

Bachelor's degree required. Master's degree preferred.

EXPERIENCE

Two years of experience directly related to the job functions required.

Experience in higher education with a focus on Athletics and external relations preferred.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

  • Ability to handle multiple tasks in a fast-paced environment as needed.
  • Ability to attend seminars, meetings and other professional development opportunities at or away from TWU.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
  • Ability to integrate resources, policies, and information for the determination of procedures, solutions, and other outcomes.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, alumni and the public.
  • Ability to communicate effectively - orally, by phone, in person, and in writing.
  • Ability to respond to emergency situations in a timely manner.
  • Ability to represent the department and University in a friendly, courteous, and professional manner.
  • Ability to use a personal computer and other office equipment, including related university software and email.



  • Ability to work evenings, weekends, and holidays.

PHYSICAL DEMANDS

Ability to occasionally lift, carry, and/or drag approximately 50 pounds. The employee may be required to travel.
