Position Summary:

This position reports to the College of Nursing Associate Dean and works closely with the Nurse Anesthesia Program Director and Assistant Director. In addition, the Department Assistant has daily contact with prospective and current students, clinical agencies, university services staff, faculty, academic staff, and administrators. An individual in this role must be self-motivated, have a working knowledge of college and university policies and procedures, display professional communication skills, and function independently with little or no supervision. An ideal candidate will also maximize the use of computer technologies while performing tasks. The individual in this position must be able to provide exceptional customer service, balance multiple projects and deadlines in a fast-paced, high-traffic environment, and be prepared to assist faculty, staff, or stakeholders in times of immediate need. This position functions with a high level of confidentiality.

Work Location: on-site with the potential option of hybrid/remote work.

Responsibilities

Serves as the primary department contact

Coordinates projects and complex program components, including scheduling and logistics of both resources and people, manages changing priorities and workflows, and identifies areas for process improvements.

Reviews and processes clinical site inquiries and requests while interfacing with various agencies, both public and private, for clinical placement of Nurse Anesthesia residents.

Collaborates and communicates with a wide variety of internal and external stakeholders, such as healthcare agencies, faculty, vendors, students, and others, while maintaining confidentiality of information and assuring smooth processes.

Develops, implements, and maintains methods and organizational systems for maintaining electronic/physical records related to department operations according to established policies and procedures.

Performs and maintains accurate data entry in multiple systems, assuring the security of protected information at all levels, such as maintaining program compliance records and monitoring State Board of Nursing accreditation details and deadlines.

Maintains and reviews program records, schedules, and announcements for completeness, accuracy, and formatting to ensure compliance with policies and procedures.

Identifies, troubleshoots, and resolves problems regarding technical systems and programs related to department operations.

Monitors some program expenses and may assist in compiling data for program projections and/or budgets.

May provide operational guidance and training on the day-to-day activities of student workers and program staff.

Assist the program and the College of Nursing with various other tasks and duties. These tasks may include marketing, assisting with staff and student events, helping with recruitment and retention activities and events, etc.


Qualifications
Required:

  • High School Diploma or equivalent
  • At least One (1) year of administrative office work experience and/or equivalent additional training/education in an administrative professional or similar program.
  • Demonstrated proficiency in office software programs and systems, such as MS Word, MS Excel, MS Teams, MS PowerPoint, and SharePoint.
  • Demonstrated experience managing multiple tasks on multiple timelines/schedules, as well as the demonstrated ability to effectively remain organized and meet tight deadlines.
  • Advanced keyboarding skills
  • Demonstrated ability to communicate verbally and in writing in a clear, effective, and professional manner.
  • Experience handling confidential information and/or confidential records.

Preferred:

  • Additional education beyond high school (i.e. associate's degree, bachelor's degree, etc.)
  • Demonstrated ability to quickly and independently learn and use a variety of new software programs and/or tools.
  • Demonstrated working knowledge of or the equivalent educational training in the regulatory requirements for healthcare facilities, i.e. familiarity with agency health requirements for caregivers, medical terminology, HIPAA, CDC, OSHA, and other caregiver laws.
  • Intermediate proficiency with the University Student Information System and/or an understanding of the functions of the student enrollment process, transcript request and review process, and class building.
  • Working knowledge of the University and College of Nursing (CON) policies and procedures, including knowledge of the admissions process, curricula requirements, and the prerequisites for the Post Licensure Nursing Program.
