Job Description:

Responsibilities

The Project Aide will provide support to the Central Office Processing Team within the Bureau of HIV/AIDS Surveillance Program. Primary responsibilities include data entry and verification of information reported to the Surveillance System. Primary duties include conducting daily case reviews to determine if incoming documents match to existing cases in the HIV/AIDS surveillance system; flag cases that require follow-up if no match was found. The incumbent will participate in the bureau-wide scanning project aimed at reducing the volume of stored confidential case report and provider report forms; related duties include creating scanning logs, scanning of documents, verifying scanned document for clarity; handle storage and shredding of scanned documents per protocols. The incumbent will retrieve, collect, sort, distribute, and track incoming mail and packages on a daily basis. The incumbent will also support general office tasks such as filing, photocopying, phone coverage, and administrative assistance for the program. The incumbent will provide project support and administrative support for the creation of spreadsheets, graphs, and charts using a variety of software. Perform other appropriate related duties as assigned to support the program.

Minimum Qualifications

Associate's degree in a related field or higher degree in a related field; OR two years of general office, secretarial, administrative experience and/or project assistant experience.

Preferred Qualifications

Experience working with confidential, health-related data. Strong background in data entry including reviewing and identifying data entry errors. Experience organizing, sorting, and merging health data. Proficiency using software including Microsoft Office Suite (Word, Access, Excel, Teams, and PowerPoint) and Adobe Acrobat to prepare documents, graphs, slides, presentations, and spreadsheets. Demonstrated ability to handle multiple priorities in a busy office environment.

Conditions of Employment

Grant funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables, is required.

Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position.

Travel, up to 25% of the time, may be required.

The selected candidate must reside within a reasonable commuting distance of the official work location specified in the job posting and must also be located in or willing to relocate to one of the following states: New York, New Jersey, Connecticut, Vermont, or Massachusetts, prior to hire. Telecommuting will not be available.
