We are seeking a dynamic and experienced Clinic Operations Manager to lead our Pewaukee Clinic. This role is pivotal in ensuring operational efficiency, provider engagement, and the delivery of high-quality patient care. The Clinic Operations Manager will oversee a dedicated team of 40 direct reports. Key Responsibilities: Staffing & Provider Management:
- Oversee the recruitment, hiring, and performance management of providers, including nurse practitioners, physician assistants, and physicians.
- Develop and maintain provider schedules to ensure adequate coverage across the clinic.
- Manage time-off requests and resolve scheduling conflicts efficiently.
Operational Oversight:
- Serve as the primary point of contact for patient concerns, incident reporting, and feedback follow-ups.
- Address operational challenges and provider issues in real-time to maintain seamless clinic operations.
- Monitor and manage performance metrics, including quality of care, patient satisfaction, and financial indicators.
- Ensure compliance with organizational policies and state/federal regulations.
Collaboration & Communication:
- Collaborate closely with physician leadership and other stakeholders to resolve clinical and operational issues.
- Communicate patient concerns and performance feedback to providers constructively.
- Support the development and implementation of strategic initiatives aimed at enhancing patient experience, provider engagement, and operational efficiency.
Administrative & Financial Responsibilities:
- Manage provider expense reports and track continuing medical education (CME) activities.
- Assist with the recruitment and onboarding of new providers.
- Maintain accurate records for payroll, CME, and required education compliance.
Qualifications & Requirements:
Education & Experience:
- Bachelor's degree preferred in Healthcare Administration, Business, or a related field.
- Minimum of 2 years of experience in healthcare leadership or provider management.
- Clinical experience as an RN, LPN, or MA in a medical group setting is a plus.
Skills & Competencies:
- Strong organizational and problem-solving skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal abilities to engage effectively with providers, leadership, and patients.
- Proficiency in Microsoft Office Suite (Outlook, Excel) and electronic health record (EHR) systems; experience with Epic is preferred.
- Ability to remain calm under pressure and resolve urgent issues effectively.
Work Environment & Expectations:
- On-call availability to provide emergency off-hours building support.
