Function:

Administrative Job Summary:The Operations Administrative Assistant is responsible for a wide range of duties requiring a high degree of technical/computer skills and confidentiality. This person provides support and assistance to the Operations Manager and his staff. Production, Maintenance, and Product Handling are included under Operations at the Donaldsonville site.

This position requires effective communication and interaction skills with Donaldsonville employees, CF corporate offices, and other CF sites. Job Description:

Major Responsibilities:

1. Act as document control for Operations, Maintenance and Product Handling including, but not limited to, preparing original procedures, inputting corrections or updates, and incorporating the modifications into Donaldsonville's Intranet Delivery System. This includes:

  • SOPs
  • Training Plans
  • Safe Operating and Control Limits
  • Ventilation Plans
  • Rescue Plans
  • Lock, Tag, and Try procedures
  • Loss Control Procedures
  • Confined Space Entry Procedures

2. Maintain Daily Production Report duties

  • Assemble reports and confirm comments with operations (Urea 2 Day Supervisor)
  • Distribute via email once all operations and product handling data has been entered and reviewed
  • Notify appropriate personnel that reports are complete.
  • Note - operations personnel serve as backup for this role as needed during vacation and weekend.

3. Prepare and distribute the following routine reports in a timely manner:

  • Donaldsonville Monthly Operations Report
  • Action item progress and tracking reports

4. Assist in monitoring adherence to the Production, Product Handling and Maintenance Budgets.

  • Work with Accounting to generate and compile as necessary the reports required to adequately monitor adherence to each budget.
  • Monthly monitor the Operations Manager's budget.

5. Provide assistance to Operations Manager and his direct reports.

  • Schedule and provide assistance for meetings/appointments.
  • Provide logistic assistance as and if needed between tour groups and Donaldsonville staff.
  • Assist with preparing presentations and documents for monthly reporting.
  • Handle telephone, messages and emails.
  • Incoming and outgoing correspondence and reports.
  • Communicate with and assist Operation Manager's staff as necessary.

6.Assist with coordination and interface between Donaldsonville and Northbrook.

  • Assists in generating presentation material.
  • Is aware of and tracks as needed the itineraries of managers at CF
  • Assist in scheduling and managing visitors and tour groups

7. Arrange travel for Donaldsonville Personnel (Assist Executive Administrative Assistant in this task.)

  • Arrange air, hotel, and car rental for employees as needed through Direct Travel using Concur search engine.
  • Manage Travel Profiles for Donaldsonville employees who travel for CF Industries.

8. Assist other CF Donaldsonville departments.

  • Provide assistance to other departments as back-up, resource and/or help with heavy workloads.

9. Purchase goods and services with "P" card and

10. Prepare and distribute bi-annual CF Donaldsonville site newsletter.

INTERNAL CONTROLS:

Understands and complies with established departmental processes and procedures designed to support internal controls efforts. Identifies and brings to the attention of department management internal controls deficiencies

POSITION QUALIFICATIONS:

  • Relevant Bachelor's degree or equivalent combination of education and experience.
  • At least 5 years of experience in administrative support.
  • Ability to work with and maintain confidential information.
  • Ability to adapt to a changing environment and handle multiple priorities with little supervision.
  • Excellent organization, communication, presentation and interpersonal skills.
  • Excellent writing and analytical skills with strong attention to detail and a high focus on accuracy
  • Excellent computer skills including Microsoft Office software.
  • Willing to work overtime during emergency situations.
  • Must be able to acquire Transportation Worker Identification Credentials (TWIC)
  • The ability to prove drug and alcohol free at random or for cause.

This position is responsible for varied duties requiring a broad familiarity with CF and assignments at this level are carried out with considerable independence. The incumbent is required to exercise strong decision making skills and sound judgement.
