Position Details:

Under direction of the Child Mind Institute (CMI) Signing Official (SO), the Director of Sponsored Programs Operations coordinates (1) administration of pre-award activities for competitive, investigator-initiated research grants and contracts funded by federal or private sponsors that require the SO to provide initial approval; (2) ongoing certification of compliance with sponsors' published terms and conditions; and (3) post-award programmatic and financial reporting requirements.

Reporting to the Interim Chief Financial Officer, this is an exempt, full-time, hybrid (3+ days in office per week) position located in our NYC headquarters.

You Will:

  • Ensure timely submission of sponsored grant applications and contracts. Process newly awarded grants and contracts. Oversee completion and routing of internal paperwork and disclosures. Correspond with sponsor for award application, negotiation, execution, and close-out.
  • Be the point of contact and resource to sponsors and CMI staff for all pre- and post-award grant activities (just-in-time documents, prior approval requests, progress reports, financial reports, and close-outs). Guide researchers on federal grant compliance regulations including financial (NIH cost principles, Uniform Guidance procurement, travel reimbursement) and administrative (clinicaltrials.gov, PubMed Central, CITI Program). Keep up to date on changing regulations and best practices.
  • Create and amend subaward agreements in preparation for institutional approval and signature. Monitor subrecipient compliance by requesting OMB certification forms from subaward institutions and work with CMI investigators to assess programmatic performance.
  • Maintain active institutional accounts including eRA Commons, Grants.gov, ASSIST, ProposalCentral, New York City PASSPort, New York State SFS, SAM.gov, FFATA, Federal Demonstration Project, and other credentialing and submission systems for grant proposals and awards.
  • Maintain and update investigator effort tracking to ensure compliance with sponsor time and effort policies. Maintain other support pages for all key research personnel.
  • Assist General Counsel by overseeing PHS financial disclosures for all investigators.
  • Review and approve purchases, payments of services, and reimbursements of expenses charged to sponsored projects. Monitor posted expenses for allocation to correct accounts. Review and approve all vendor agreements charged to sponsored projects.
  • Manage two direct reports; perform supervisory responsibilities following policies and applicable laws. Responsibilities may include interviewing; hiring; planning, assigning, directing, and coaching work; performance management and reviews; and resolving problems.
  • Other tasks as assigned.

You Have:

  • Bachelor's degree from an accredited institution.
  • 10+ years of previous grant administration experience.
  • 5+ years of experience with federal grants.
  • Knowledge of the field of sponsored programs and research administration including working knowledge of general research regulations and requirements for compliance.
  • Broad experience with government agency and private foundation sponsored program reporting requirements.
  • Experience in grants management over the entire life cycle: submission of proposals, ongoing compliance with sponsor terms and conditions, and close out.
  • Experience with financial and budgetary principals including the federal Uniform Guidance.

Pay Range

The salary range for the position is posted. Factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations affect the salary offered within this range. In addition, this salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
