Job Summary

The anticipated duration of this temporary assignment is approximately 4 months

The Endocrinology Division in the Dept. of Medicine is seeking an experienced individual who is detail-oriented with excellent communication skills, both verbal and written, who can prioritize and manage multiple projects with demanding timeframes in a dynamic environment. The Admin.Officer will support provide administrative support to the Endocrinology Division of the Department of Medicine. The Admin Officer will work with the division manager and the core administrative team to provide general administrative support for the Division.

Although most regular work for this position can be done remotely, there may be some occasions when the administrator will need to come into the office for meetings and/or other on-site events, e.g., support of clinical faculty meetings, fellows orientation, etc.

Key Responsibilities:

  • Provide day-to-day administrative support for Endo faculty and staff
  • Process purchases for the division using BearBuy
  • Review and submit vendor invoices for payment
  • Support and schedule events and meetings
  • Arrange room for meetings and refreshments if needed
  • Arrange accommodations and travel for external guests
  • Oversee distribution and collection of Physician Time Study Reports for the Medical Center and DHCS
  • Work with the core administrative team to provide general administrative support as needed
  • Process reimbursements for employee travel, relocation, meeting, entertainment, and miscellaneous expenses in MyExpense
  • Manage scheduling for faculty and faculty recruitments and searches
  • Initiate and oversee processing of all new clinical faculty applications for Medical Staff Privileges, ensuring timely processing and renewal for existing faculty
  • Provide administrative support for Endocrinology Grand Rounds and CME programs
  • Provide support with onboarding new Endocrinology faculty and fellows

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.

Required Qualifications


  • Bachelor's degree in a related area and one or more years of relevant experience, or equivalent experience/training
  • Working knowledge of Microsoft Office programs (Outlook, Excel, Teams, Word, PowerPoint) and meeting time-finding applications like Doodle
  • Knowledge (or ability to quickly learn) UCSF operations, including MyExpense, Connexus, UCSF Advance, My Reports, PeopleSoft, PeopleConnect, and BearBuy
  • Solid organizational skills and ability to multi-task with demanding timeframes
  • Ability to use discretion and maintain confidentiality
  • Ability to use sound judgment in responding to issues and concerns
  • Ability to work independently
  • Ability to multi-task and prioritize tasks effectively
  • Professionalism and ability to maintain a high level of professionalism when working with diverse stakeholders, including community partners, university leadership, and donors

Preferred Qualifications


  • 2 years of work experience in a related field
  • Knowledge of public health topics
  • Familiarity with key UCSF software (e.g., MyExpense, Connexus, UCSF Advance, My Reports, PeopleSoft, PeopleConnect, BearBuy)
