ABOUT THE JOB

The Administrative Assistant is responsible for performing general administrative duties for the credit department.

WHAT YOUR DAY WILL LOOK LIKE



  • Prepares memos outlining and explaining administrative procedures and policies.
  • Manages travel schedules, including proactively coordinating travel plans, accommodations, agendas and required attendee lists/materials/documents, etc.
  • Acts as custodian of corporate credit documents and records.
  • Schedules appointments, gives information to callers, composes and types correspondence, reads and routes incoming mail and performs other administrative duties.
  • Schedules on-site and off-site meetings, working with hotel and catering staffs.
  • May cross-train and serve as back-up to other positions in the department primarily applying and researching customer payments.
  • Provides excellent customer service to all internal and external customers.
  • Other work-related duties as assigned by leader.
  • Reliable and regular attendance is required.
  • Follows all company policies and procedures.



EDUCATION & EXPERIENCE



  • High school diploma or equivalent is required.
  • Three years of work-related experience is required.



SKILLS & QUALIFICATIONS



  • Excellent computer skills, including proficiency with Microsoft Office.
  • Written and verbal communication skills.
  • Organizational and interpersonal skills.
  • Ability to balance multiple priorities.
  • Ability to handle confidential information, work independently, demonstrate discretion, and show excellent judgment and tact.
  • Analytical and critical thinking skills.



Successful completion of a drug test and background check is required for all positions at Helena.

WORK ENVIRONMENT & PHYSICAL ASPECTS OF THE JOB

The work environment for this position is that of a typical office environment where the noise level is mostly quiet. This position requires you to use your hands for many different tasks and to talk, hear, walk, stand and sit. You may be occasionally required to lift or move up to 10 pounds.
