Who you are

The Assistant Facility Manager will support the Facilities Management team in overseeing the coordination and execution of maintenance programs, vendor management, process implementation, and technology integration. This role will focus on growing the current portfolio, implementing standardized procedures, and leveraging technology to improve operational efficiency. The Assistant Facilities Manager will serve as a key point of contact between Colliers, Restaurant Licensees, and Maintenance Providers, ensuring seamless execution of Preventive and Reactive Maintenance services.

SPECIFIC FUNCTIONS AND RESPONSIBILITIES:
Maintenance Coordination & Vendor Management
Oversee scheduling and completion of Preventive and Reactive Maintenance services for the Client's Licensees.
Monitor adherence to preventive maintenance schedules, providing guidance and coaching to Licensees.
Coordinate with Maintenance Providers to dispatch service requests via Colliers' online work order system.
Track and manage service request data, ensuring compliance with Service Level Expectations (SLEs).
Maintain complete records of all maintenance activities, repairs, and replacements.
Collaborate with vendors to ensure high-quality service delivery and adherence to contractual agreements.
Identify opportunities for vendor consolidation and cost-saving measures within the maintenance program.
Process Implementation & Compliance
Implement standardized processes and procedures to enhance maintenance operations and vendor coordination.
Develop and manage reporting structures, including scorecards, operational reports, and customer satisfaction surveys.
Support Licensees in obtaining cost estimates for equipment replacement when repairs are not cost-effective.
Assist in the development of best practices and standard operating procedures for facility maintenance.
Technology Implementation & System Optimization
Lead the adoption and integration of new technology to streamline maintenance operations.
Utilize enterprise technology systems to enhance work order tracking, vendor coordination, and reporting.
Ensure accurate data entry and reporting to track warranty information, service history, and maintenance performance.
Monitor and optimize Service Level Expectation (SLE) tracking to improve response times and efficiency.
Train internal teams and stakeholders on new systems and software to improve operational efficiency.
Leverage data analytics and predictive maintenance tools to drive proactive decision-making and reduce downtime.
Program Growth & Expansion
Assist in the strategic expansion of the facility management program, identifying opportunities to onboard new locations and Licensees.
Develop and execute plans to increase program scalability and efficiency while maintaining service quality.
Work with leadership to explore new service offerings and partnerships to enhance portfolio value.
Identify key metrics and performance indicators to support the continuous improvement and expansion of services.
Support cross-functional collaboration with internal teams to ensure smooth program growth and integration.
Stakeholder Communication & Reporting
Serve as the primary point of contact for Licensees regarding maintenance coordination and issue escalation.
Provide regular updates to the Client and Licensees on work schedules, response times, and maintenance progress.
Support the development of communication plans and reports to enhance transparency and stakeholder engagement.
Collaborate with internal teams to assess program performance and identify opportunities for improvement.

REQUIRED SKILLS, EDUCATION AND EXPERIENCE

Five years professional experience in facilities management, construction management, or commercial buildings.
Demonstrated operational success in managing maintenance operations and vendor services.
Prior experience leading/managing direct reports.
Experience supporting remote managed locations, corporate headquarters, and/or regulated environments a plus.
Proven financial and accounting knowledge and abilities.
Superior organizational and communication skills.
Excellent interpersonal relationship skills, with strong attention to high standards of customer service and negotiating sensitive management issues.
Proficient computer and administrative skills.
Ability to grow as the scope of the position increases.
Ability to travel among portfolio as required.
