Under the direction of the Facilities Manager, this position will support building operations and facilities maintenance for the School of Public Health. Responsibilities will include managing building access and general security, room scheduling, package and mail distribution, monitoring of building intercom system and directing visitors, submitting facilities work orders and overseeing inventory tracking and physical biennial inventory.

Duties & Responsibilities:

  • Responsible for maintaining general security protocols and building oversight for the SPHPI building. This includes processing building I-card access and key distribution and tracking for SPH Dean's office staff, completing daily building walk-thrus to document and address any security or facilities-related issues and unlocking/locking classrooms daily based on daily schedule.
  • Responsible for monitoring the SPHPI intercom system during building operating hours and accepting, logging and distributing package/mail deliveries. Directing students and building visitors as needed.
  • Along with the Facilities Manager, address custodial/grounds/facilities issues as they arise. This includes logging work orders through the FMWeb system, communicating with campus facility and trade personnel and ensuring projects are completed and communicated to SPH occupants as needed.
  • Assist with scheduling of courses and other events held in the SPHPI building using the EMS software. Assist with furniture re-configuration for special events.
  • Track and update SPH Dean's Office inventory using FABWeb. Assist Facilities' Manager in conducting physical inventory of property and equipment. Complete mandatory biennial inventory process.
  • Update physical and electronic building signage as needed.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:


    1. High School Diploma or equivalent.

    2. Any one or combination totaling two (2) years (24 months) from the categories below:

    A. college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent:
    • 60 semester hours or an Associate's Degree equals one (1) year (12 months)

    B. training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

    C. work experience which includes building operations such as coordination of building maintenance and work orders, construction management, hospitality, or closely related experience.

    Preferred Qualifications:
    • Excellent technical skills and knowledge/proficiency with Microsoft Office, online video conferencing platforms (Zoom, WebEx, Microsoft Teams), cloud based systems (Box) and Qualtrics.
    • Strong project management skills.
    • Strong interpersonal, communication, written, and customer-service skills;
    • Conscientious of the integrity of work provided.
    • Ability to work autonomously, and collaboratively in a diverse and team-based environment.
    • Ability to deal effectively with various personalities and the ability to manage and prioritize multiple task tasks or projects.
    • Ability to lift light, medium and heavy items.
