Position Overview The Project Coordinator II position requires an eager and energetic individual who continuously aims to help their assigned practitioner team(s) succeed. Project Coordinator II's are the extensions of the practitioner teams they are assigned to. They help their teams run smoothly and are able to swiftly identify inefficiencies. They assist in keeping projects on schedule and help to expedite permitting. Key Responsibilities
- Track municipality submittals (hard copy and digital), submittal payments, and permitting milestones
- Populate submittal applications
- Complete follow-ups with municipalities to track permitting status and progress
- Perform in-depth municipality research
- Assist with project set up in project intake portal
- Attend client meetings and generate action list for distribution
- Assist in creating project schedules and schedule templates; maintain project schedule dates and revisions
- Collaborate between sector and service group administrative staff to assist in scheduling interdepartmental resources
- Coordinate with administrative staff for submittal preparation and courier needs related to assigned practitioner team(s)
- Draft proposals and change orders; partner with Administrative Coordinators and Project Coordinator I's for finalizing proposals and change orders
- Mentor and train Administrative Coordinators and Project Coordinator I's
- Complete other duties as assigned
Skills + Experience
- High school diploma
- Associates degree OR relevant administrative work experience preferred
- Previous A/E/C firm experience preferred
- Previous experience in a professional office setting preferred
- Advanced knowledge and experience with MS Office Suite
- Possess outstanding organizational ability as well as oral and written communication skills
- Possess an extreme detail-orientation with strong writing, editing, and proofreading skills
- Be a proactive thinker with the ability to prioritize multiple competing deadlines
- Be comfortable working in a fast-paced environment, displaying professionalism, calm and poise
