The Online Support Specialist is pivotal in managing student records and ensuring compliance with institutional and clinical program requirements. This individual will serve in an operational capacity and liaise between various departments to support collecting, validating, and distributing student information. They will also assist with accreditation processes, clinical agreements, and ongoing communication with students to ensure the timely completion of required documentation

Responsibilities:



  • Run reports and gather data to support day-to-day operations, including student documentation and program tracking.
  • Track and update records related to background checks, drug screenings, NCLEX scores, and nursing orientation. Ensure all required documentation is up to date and compliant.
  • Assist with outreach to students for schedule confirmation, immunization updates, and other pre-clinical tasks via phone, email, or text. Address any inquiries and ensure completion of outstanding requirements.
  • Assist with the organization and coordination of advisory committee meetings, including scheduling, preparing agendas, and documenting meeting outcomes.
  • Assist with the preparation for accreditation visits, including gathering required documentation and ensuring compliance with all programmatic standards.
  • Review and assess documents submitted for clinical practice agencies, ensuring students have the required items submitted on time. Specify expectations for students, faculty, and clinical agencies while safeguarding the interests of the students, university, and clinical sites.
  • Collect, document, and communicate all required student programmatic paperwork in accordance with facility and university policies. Ensure that university and clinical sites receive accurate and timely information.
  • Assist students in understanding and clarifying clinical attendance requirements for their program to ensure compliance.
  • Oversee the collection and tracking of Bachelor Completer scripts, ensuring they are properly documented.
  • Conduct outreach to collect students' outstanding enrollment and pre-clinical items. Ensure all required items are submitted on time.
  • Manage outreach efforts related to Q2 ineligibility, ensuring that students are informed, and any issues are addressed.
  • Oversee the processing and distribution of student ID badges, ensuring accuracy and timely issuance.
  • Lead or assist in tracking and maintaining student immunization records, ensuring all records are up-to-date and meet institutional and clinical requirements. Ensure the students have the necessary documentation on file before university and clinical deadlines.
  • Serve as the primary point of contact with the Advising and Faculty teams to ensure that official student transcripts are on file. Pull and validate student reports and distribute accurate student information to all necessary parties.
  • Ensure all required documentation is completed by set deadlines, working proactively to address any issues that may arise to meet these timelines.
  • Maintain a flow of accurate and timely information between the university and students to ensure all parties are informed and current on students' documentation and compliance status.
  • Perform other duties as assigned, ensuring efficient operation of student records, advising needs are met, and compliance processes.

Reporting Relationships:

The Online Support Specialist reports to the Online Executive Director of Advising with indirect reporting to the Associate Directors of Student Advising. The Online Support Specialist will work cross functionally to assist with advising and clinical administration.

Requirements:



  • Bachelor or equivalent experience
  • Experience in administrative support, student services, or related field.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
  • Experience in handling student records, reports, and compliance tracking systems.
  • Familiarity with immunization compliance, background checks, and clinical documentation.
  • Excellent written and verbal communication skills, with the ability to interact effectively with students, faculty, and staff.
  • Ability to maintain confidentiality and manage sensitive student information.
  • Previous experience in a higher education setting or student records management is preferred.


This role is ideal for a detail-oriented, proactive individual with strong communication skills looking to support students and faculty in a dynamic academic environment. Ideal candidate has 2 years of experience in a fast paced, service focused setting. This role emphasizes leadership and coordination, ensuring the timely management of student compliance documents and communications between the university, advising, faculty, and clinical sites. The focus is maintaining compliance with institutional, clinical, and regulatory standards.

Provides information on the minimum required formal academic training and minimum required work experience expressed in time.
