Job Summary

Provide comprehensive administrative operational support and project coordination for a multi-campus research initiative. Key responsibilities include managing contract deliverables, updating detailed project timelines using web tools, and coordinating communication among project partners. Coordinate and support project meetings, maintain the UC Davis Hub webpage, and manage reporting requirements. Oversee administrative operations such as travel and expense reimbursements, purchasing, and printing, while streamlining business processes to effectively support research and academic objectives. Act as a liaison between the research group and other campus and departmental units. Facilitate communication, document meeting notes, prepare summaries of completed tasks and action items, and foster a culture of compliance, excellence, and service delivery. This position has an indirect reporting line to the ECE Finance Manager. Oversee pre- and post-award administration for complex, multi-investigator, multi-site, and multi-year research projects, ensuring strict compliance with federal, state, university, and departmental policies and procedures. Track financials, maintain fiscal control, and prepare detailed accounting and reporting for contracts, grants, federal and private funding, gifts, endowments, and other funding sources. Provide expert financial analysis, forecasting, and reporting, including effort reporting, long-range financial planning, and compliance oversight.

  • Strong organizational skills to manage a business unit, adapt to changing priorities, and meet deadlines.
  • Strong understanding of pre- and post-award processes for extramural projects.
  • Excellent communication skills to engage with diverse personnel, including faculty, staff, and external stakeholders, project stakeholders with a demonstrated 'customer service' mindset and approach.
  • Demonstrated financial analysis, forecasting, and strategic planning skills.
  • Effective interpersonal and communication skills.
  • Strong understanding of Microsoft Excel and other Microsoft Suite Applications.
  • Highly self-driven and proactive, with the ability to take initiative, work independently, identify and utilize resources effectively, and anticipate needs to ensure smooth operations.

Preferred Qualifications

  • Experience with full range of responsibilities included in research administration.
  • Experience working in a laboratory setting with faculty researchers.
  • Experience providing administrative operations support and leadership.

Department Overview

This position provides administrative and financial analysis support to one of the research groups at the department of Electrical and Computer Engineering. The Department of Electrical and Computer Engineering is a large complex academic department in the College of Engineering and provides instruction and research in multiple specialty areas of electrical and computer engineering. The department currently has approximately 400 accounts with an annual budget of approximately $25M (instructional and research). ECE has approximately 800+ undergraduate students and 200 graduate students. ECE has 42 academic and staff employees including postdoctoral scholars, project scientists, and other scholars. The incumbent of this position works in an independent manner, providing advice and guidance to PI's, ECE Finance Manager, CAO, and department chair, and works closely with the Dean's Office, Office of Research Business Contracts, Accounting and Financial Services, sponsoring agencies, and other external parties (subcontractors, consultants, etc.) to facilitate the timely submission of proposals to expedite the transfer of awards. Serves on campus and college wide committees associated with financial management matters.
