Job Summary

Under direction, provide executive, administrative and project support to the Executive Leadership team of the Manetti Shrem Museum. Lead the coordination of daily administrative activities and manage all aspects of support related to the director's daily responsibilities including matters that are sensitive or complex in nature. Provide project and program support in key areas including internal and external communication and outreach efforts. Serve as first point of contact to museum constituents, manage executive leadership's complex calendars, and assist with coordinating logistics for meetings and events with internal and external constituents.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's Degree or equivalent experience.
  • Experience providing administrative and project management support in a complex organization.
  • Experience coordinating complex meetings, programs and events.
  • Experience managing dynamic electronic calendars and arranging meetings efficiently, effectively and based on priorities.
  • Experience composing and editing professional correspondence including e-mails, reports and other official documents.
  • Problem-solving skills to anticipate and identify problems and help to develop creative solutions.
  • Organizational and time-management skills to achieve timely progress on multiple tasks, meet deadlines, and maintain a high level of quality and attention to detail.

Preferred Qualifications

  • Experience providing administrative and project management support to high level administrators leading a museum or other complex arts organization. Experience coordinating travel and establishing itineraries.
  • Political acumen and judgement to handle sensitive or difficult situations with discretion.
  • Knowledge of and skill to interpret and apply UC Davis policies and procedures, especially those pertaining to purchasing, travel and entertainment.

Department Overview

The Manetti Shrem Museum is dedicated to education and serves a primary audience of faculty and students as the lens through which it engages a broader audience. The museum's program is steeped in the rich resources of UC Davis (a Top 5 public university in the US), which is also the repository of an important art historical legacy.

This position supports multiple aspects of the museum's mission. Administrative duties require flexibility, initiative and problem-solving. The museum team is mission-oriented, results-driven and community-facing. The incumbent must have the ability to exercise good judgement in a variety of situations, exhibiting grace under pressure. Requires stringent verbal and written communication skills, and the ability to maintain a realistic balance among multiple priorities.
