Department Marketing Statement:

Housing, Dining & Auxiliary Enterprises houses 10,000 students, faculty and family residents on campus, provides support services for 9,300 students residing in the communities adjacent to the campus, serves 21,000 customers daily in its retail and board dining programs, manages the UCSB Campus Store and University Center, hosts 150,000 guests annually for conferences and meetings, manages a major events center (Events Center), and oversees the administration of transportation, parking and fleet services. Additional responsibilities in the HDAE portfolio include Administrative & Residential Information Technology (ARIT) and The Club & Guest House. Brief Summary of Job Duties:

The Assistant Director of Residential Dining Business & Finance is responsible for all aspects of the business and financial management for the Residential Dining department. Member of the Senior Management Team in Residential Dining, sharing responsibility for an annual operating budget of 18 million representing production and service of 2.7 million meals in all Residential food service facilities and operations. Scope includes four primary Residence Dining Commons, kitchens and bakeries, Campus Catering, Campus Concessions and Summer Conference Dining, and Retail Stores, serving a community of over 8,500 student, faculty and family residents.

Required Qualifications:

Education

  • Required Bachelor's degree in related area or required equivalent experience / training

Work Experience

  • Minimum 4-6 years of progressively responsible experience in financial analysis, budgeting, and reporting required; or equivalent combination of education and experience required

Preferred Qualifications

  • Experience in Higher Education managing changes in financial policies, systems, or procedures and successfully guiding teams through transitions, particularly in large, complex organizations.

Job Functions and Percentages of Time:

  • Business & Financial Management - 90%

- Responsible for managing and supervising all Businesses & Financial processes for Residential Dining Services.

- Reviews budget and financial data with the Director of Residential Dining Services. Supervises compilation of data and monitors financial status on a regular basis. Determines tools and resources for the department to use to analyze progress and keep costs within budgetary parameters.

- Plans, communicates, and makes final determination of budget allocations in categories of Labor, Supplies and Expense, and Raw Food Costs for all Dining facilities. Determines financial analysis and reports needed for Dining Services, consulting with the HDAE Chief Financial Officer/Sr. Executive Director of Business & Financial Planning and Dining Director.

- Evaluates and monitors financial systems used for monitoring food costs (CBORD), consulting with the Information Systems Director for effectively integrating information into campus systems and improving efficiencies.

- Supervises staff to track customer counts, labor productivity and costs per meal providing comparative analysis of each area.

- Monitors internal controls necessary to meet HDAE target budget and keeps Director of Residential Dining Services informed of all budget concerns.

- Develops and creates management reports for all accounts. Serves as department-wide resource to managers and directors for all budget related issues. Provides monthly recommendations for all dining staff for adjusted spending, expense priorities and direction to meet budgetary goals.

- Liaison to HDAE Business & Financial Services functional area for all Dining related finances and processes.

- Participates in the development and preparation of Dining Services' annual budget including spending and expense projections for the coming fiscal year.

- Conducts complex financial analysis and produces budget scenarios based on varied projections and governing factors. Reports include comparisons of historical data for raw food costs, student, casual, career and temporary labor, supplies and expense expenditure patterns for current monthly, quarterly and annual data compared to previous periods. Other reports define food cost per meal, labor cost per meal and projected meal counts per unit.

- Advises Director of Residential Dining on feasibility of long-term goals, establishes objectives, and recommends implementation of programs with department-wide impact.

- Develops models for departmental expansion, unit renovations, and potential policy changes. Creates financial "what-if" scenarios for a variety of construction scenarios.

  • Special Projects - 10%

- Performs special duties and management assignments as designated.

- Serves on departmental, Campus-wide and UC wide committees in the areas of purchasing, technology, finances and personnel development.

- Coordinates interdepartmental changes to procedures, structures and systems to address new food service related policies and regulations initiated by government, UCOP and /or campus agencies.

- In compliance with HDAE goals and objectives, affirms and implements the departmental Educational Equity Plan, comprised of short and long term objectives that reflect a systematic approach to both students and staff for success in a multicultural society. Works in an ethnically diverse and culturally pluralistic environment.
