JOB SUMMARY: The Procurement Buyer is responsible for the entry of purchase requests and agreement process management to support the procurement of goods and services. The buyer will create and support strategies to optimize categories of responsibility, spending, and meet company objectives. They will build relationships with vendors and internal stakeholders and handle inquiries regarding orders, status, changes, invoices, payments, cancellations, and other queries with stakeholders. ESSENTIAL DUTIES & RESPONSIBILITIES:
- Partner with internal business partners to identify sources, manage requests for information, quotes, and/or proposals and support contract negotiations to achieve favorable terms.
- Maintain required documentation and data entry to ensure adherence and compliance to Sarbanes-Oxley Act (SOX) controls and processes.
- Establish relationships with vendors to ensure open communication and top-notch customer service.
- Manage operational requests to enter purchase requisitions and contract agreement requests into Oracle to procure goods and services on behalf of BioCryst.
- Follow procurement and finance processes to convert purchase orders and store required data in Oracle, SharePoint, Excel and other repositories, spreadsheets or systems as required.
- Support the procurement team to implement category and supply strategies, establish and meet annual goals of the team, the department, and the company.
- Track requests and conversations through established processes, escalate as necessary, and follow up as needed to ensure metrics measured in time are met.
- Work closely with Accounts Payable, Finance department, and vendors to resolve invoice/payment queries.
- Monitor & track supplier performance and feedback to strategic buyers and/or category managers.
- Support the implementation of supplier changes and other initiatives led by business partners.
- Help to manage vendor master data in Oracle to assure accuracy and promote data integrity.
- Manage vendor escalations, including, but not limited to, expediting delivery dates when they do not meet our needs, pursue late or missing PO confirmations, proactively address pricing discrepancies, delivery and shipping related issues and inquiries, as well as addressing any service concerns.
- Support vendor performance through developing and monitoring metrics and KPIs - driving improvements, on time delivery, quality conformance, compliance queries, customer service challenges, and other areas of opportunity as presented.
- Support internal cross-functional stakeholders to onboard and approve new services, goods, and/or suppliers.
- Manage end-to-end Request for (RFX) process and work with internal business partners to ensure deadlines are reasonable and met and processes are followed resulting in an expedited process.
- Work with compliance and legal teams to ensure all procurement processes are compliant with all global and regional legal requirements.
- Work with stakeholders to establish viable, cost effective, and strategic processes.
- Assist with the maintenance of the Procurement Performance Dashboard to include spending (by category, by month, by department), invoice payment metrics, supplier performance and other related metrics.
EXPERIENCE & QUALIFICATIONS:
- Associate's or bachelor's degree in related field or an equivalent combination of education and experience
- 3 years' experience in procurement, purchasing or related field. Specific procurement/purchasing experience in a life sciences manufacturing organization a plus
- Procurement certification (APICS, ICMS, etc.) a plus
- Strong communication, analytical, mathematical, critical thinking, and problem-solving skills
- Candidates must be self-motivated with the ability to work in ambiguity
- Demonstrated ability to be independent as well as a team player and work effectively as a part of a cross functional team
- Strong presentation skills, both written and oral
- Superior knowledge and experience with software programs including Microsoft Project, Interactive Response Technology (IRT), and Microsoft Office. Advanced skills with Microsoft Excel preferred
- Experience with ERP systems such as Oracle or SAP; Experience with Power Point, BI, or visualization software preferred
