Summary of Job Duties:* Maintain the Chancellor's suite, ensuring a professional and welcoming environment;
* Assist in managing the Chancellor's calendar, scheduling meetings, and coordinating travel arrangements;
* Provides daily administrative support to the Chancellor's Office to include supervision of part-time and work study personnel;
* Assists with arrangements for upcoming meetings and preparation of documents or materials;
* Plan, organize, and execute campus meetings and events, including securing venues, coordinating catering, managing logistics, and overseeing event setup and breakdown;
* Interacts with UA System offices, ADHE office, Two Year Presidents and Chancellors state-wide (UA, ASU, Independent) and Ad Hoc Committees as needed;
* Record and maintain official minutes for the Administrative Cabinet and Board of Visitors meetings;
* Maintain institutional policy records and ensure documents are updated and accessible;
* Prepare reports, presentations, and materials for meetings and external engagements;
* Creates, updates, maintains UACCB Campus organizational charts;
* Develops and implements a system for institutional strategic planning and scanning, and assists in coordinating the annual planning and budgeting processes with College leadership;
* Assist in communication and coordination between the Chancellor's Office and campus departments;
* Works in concert with the College's Higher Learning Commission Liaison to address accreditation issues;
* Conducts special projects/studies to address decision-making needs of senior administrative staff as assigned.
* Maintains confidentiality of information exposed to in the course of business regarding students, supervisors or other employees;
* Requires the kind of teamwork, supervision, and personal interaction, that cannot be had in a home office situation; therefore, regular and predictable on-site attendance is a job requirement;
* Other duties as assigned. Qualifications:

Minimum Qualifications

* Associate's degree or equivalent combination of education and experience (e.g., high school diploma with significant relevant work experience).

*At least three years of administrative support experience, preferably in an office setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic familiarity with office equipment (e.g., printers, scanners).

* Strong written and verbal communication skills, with the ability to interact professionally with diverse stakeholders, including faculty, staff, students, and external partners.

* Demonstrated ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

* Proven ability to handle sensitive and confidential information with discretion and integrity.

*Ability to build positive working relationships and work collaboratively with a variety of individuals.

Preferred Qualifications

* Bachelor's degree in business administration, education, or a related field. Five+ years of experience supporting a senior-level executive in an academic, nonprofit, or public sector environment.

* Experience working in higher education, particularly at a community college. Experience with project management software and enterprise systems commonly used in higher education (Workday).

* Ability to create presentations, reports, or data visualizations (e.g., using PowerPoint or Excel).

* Familiarity with community college operations, governance structures, and academic policies/procedures.

* Experience planning and executing events, such as board meetings, campus-wide functions, or community outreach initiatives.

*Basic experience assisting with budget tracking, expense reports, or financial reconciliations.

Salary range: $40,000 to $45,000
