The Job The ideal candidate will be responsible for high volume, quick turnaround, full cycle Accounts Payable process to include: reviewing and processing invoice accurately and timely; obtaining W-9 and W8-BEN forms as necessary; ensuring tax withholdings and sales/use taxes are properly calculated; maintaining vendor information, assist with payout of prize money to racers after every event, assist with monthly racetrack check recording and assist with year-end 1099 processing. Location: Based in San Dimas, CA - In-person attendance required; not remote or hybrid Reports To: Accounting Manager FLSA/Salary: Non-exempt/$20-$23 per hour Responsibilities Opens A/P mail, matches vendor information and sends invoices to proper signer for approval. Maintain file with all invoices awaiting approval and reviews weekly. Investigates and resolves any past due balances with vendor. Vouchers/checks data entry for all approved invoices. Processing of weekly check run. Checking for appropriate data matching and approval, and mail checks. Process weekly electronic and virtual card payments. Check for appropriate data matching and approval, retain and e-file all payment confirmations. Manage electronic filing for all paid invoices. Set up of new vendors making sure W-9 requirements are met. Monitors payments of Rents & Utilities for the NHRA offices, and all other recurring monthly payments. Logs incoming checks for payments. Assists Accounts Payable Clerk with prize money payouts after each event, as needed. Other responsibilities as needed. Qualifications High School graduate. Some college preferred. 1-2 years of prior experience in Accounts Payable in a high-volume environment. Must be proficient in MS Office Suite and office equipment such as multi-functional copiers. Must be able to communicate effectively in writing and verbal with all levels of management. Ability to organize, prioritize, and work effectively with short deadlines and evolving requirements. Detail oriented, self-motivated, and able to work independently and efficiently to meet deadlines. Physical Requirements Able to work at a computer all day. Ability to talk on the phone as needed. No heavy lifting required.
