Job Description Summary: The Contract, PtP (Procure-to-Pay) COE Team Support & Projects Coordinator position is a temporary role to cover a 6-month maternity leave for a team member.

The Contract, PtP COE Coordinator will be responsible for assisting in the day-to-day activities of the Accounts Payable (A/P), Procurement, Master Data & T&E teams within our COE. He/she will support the COE to coordinate meetings, prepare agendas, prepare meeting notes and support coordination of ad hoc tasks as requested. In addition to administrative responsibilities this role will assist on ad hoc internal project work across the COE, responsibilities will vary but will be appropriate for the level. He/She will also maintain an organized electronic filing system, assist with process documentation, process improvements, reporting and projects as needed and will conduct all assignments in accordance with company policies and Sarbanes-Oxley (SOX) guidelines.

The incumbent works cross-functionally with internal departments and external resources on PtP COE related issues.

The Contract, PtP COE Coordinator supports adherence to relevant regulatory requirements and company Standard Operating Procedures (SOPs) as appropriate.

ESSENTIAL FUNCTIONS

Primary duties/responsibilities:

  • Support team leads as needed daily with calendar support, meeting scheduling, meeting notes and coordination of team meetings, team hosted trainings and team activities.

  • Support ad hoc requests for reporting and analytics from Power BI team dashboards for PtP, T&E and Service Now.

  • Assist with the collection and preparation of monthly metrics for senior leadership.

  • As needed, assist or oversee internal project tasks and deliverables.

  • As needed, assist team leads with weekly or monthly reporting preparation.

  • As requested, support any month, quarter, and year-end close process deliverables as they relate to PtP activities.

  • Follow up with vendors to resolve procurement, tax or accounting issues that have been identified by team members for resolution through analytics and reporting.

  • Follow up internally and with vendors as needed to support master data clean-up activities and documentation requirements.

  • Build and maintains positive internal and external relationships while researching and resolving issues.

  • Perform other tasks and assignments as needed and specified by management.

KNOWLEDGE/SKILLS/ABILITIES REQUIRED

* Minimum level of education and years of relevant work experience.

  • A bachelor's degree preferred and a minimum of 2 years of current, related Procure to pay experience, ideally within a pharmaceutical, biotechnology or related industry AND/OR equivalent education or experience.

* Special knowledge or skills needed and/or licenses or certificates required.

  • Excellent customer service skills.

  • Proficiency with Microsoft Office, specifically excel.

  • Proficiency with Visio & Power BI very desirable for the role but not required.

  • Excellent verbal and written communication skills.

  • Ability to work independently and collaboratively, as required, in a fast-paced, matrixed, team environment consisting of internal and external team members.

  • Ability to self-manage your time and calendar remotely.

  • Analytical thinker with excellent problem-solving skills and the ability to adapt to changing priorities and deadlines.

  • Excellent planning, organization and time management skills including the ability to support and prioritize multiple projects.

*Special knowledge or skills and/or licenses or certificates preferred.

  • Bachelor's degree in accounting, Finance or related Business discipline.

  • Previous professional experience in a pharmaceutical, biotechnology or related environment.

  • Experience working in a small, but fast-growing, entrepreneurial environment.

  • Experience working in a SOX regulated environment.
