This position serves as an integral part of the Financial Resources Division supporting and coordinating the Fairfax County Police Department's extensive travel needs. On a daily basis manages a portfolio of forty-two travel p-cards along with the travel section supervisor. This role serves as the subject matter expert in the countywide and department specific travel policies and accounting guidelines and interprets the policies to various employees in the agency across pay grades and supervisory levels. Under the supervision of the Administrative Assistant IV, Travel Coordinator, serves as the assistant travel coordinator and handles all responsibilities of the travel coordinator except the supervisory role. This role handles the reconciliation of the travel section including monthly reconciliation of the entire operational and training travel general ledger accounts.
The assigned functional areas of this position are Fiscal Administration, Accounting and/or Purchasing, Office Administration, and General Administrative duties.

General Financial Duties Uses spreadsheets or databases to organize information and produce standard reports; Prepares a variety of complex disbursement forms (e.g., check requests, travel forms, cash sheets, and journal entries) for routing and approval; May approve some disbursement forms; Compiles and maintains monthly, quarterly, semi-annual, and annual totals, reports, and financial statements; Explains fiscal rules and procedures to employees to ensure uniform application.
Fiscal Administration Sets up accounts through corporate systems; Reconciles ledgers; Prepares status reports; Gathers data for use by others in preparing budget; Prepares transfer vouchers and interfund billing; Monitors external accounts for discrepancies.
Accounting Prepares wide variety of accounting forms; Reconciles daily receipts or accounts receivable/payable; Identifies discrepancies and makes corrections; Collects required documents; Prepares and authorizes expense vouchers and/or invoices within limited authorization levels.
Office Management Provides administrative support and implements procedures; Trains and orients new employees; Provides and explains relevant policies and procedures.
General Administrative Composes routine correspondence on behalf of the executive/work unit head.
Receptionist/Public Contact Schedule appointments; Explains departmental policy/procedure but does not interpret them; Responds to inquiries that require referencing a variety of sources and utilizing knowledge of the department/county operations.
Word Processing/Typing Keys/types complex documents (e.g., technical); Proofs spelling and grammar;
Information Systems/Software Performs data entry with some knowledge of department/work unit/program; Manipulates screens for additional entries; Generates routine reports; Creates simple spreadsheets; Maintains databases.
Reports Compiles routine factual/numerical reports using readily available information.

Knowledge of standard rules and interpretations within own functional area and a working knowledge of established methods and procedures used in related areas; Significant nonstandard skill/knowledge is required involving production of an end product such as a report.

MINIMUM QUALIFICATIONS: Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).
PREFERRED QUALIFICATIONS:
- Excellent attention to detail and organizational skills
- Familiarity with Microsoft Office products such as Outlook, Word, and Excel
- Clear and concise oral and written communication skills.
- Experience processing travel requests, registrations, scheduling, and accounting for travel expenses.

The appointee to the position will be required to complete a criminal background check and credit check to the satisfaction of the employer.
PHYSICAL REQUIREMENTS:
Employment contingent on completion of background investigation and employee is subject to random drug testing. Job is generally sedentary in nature; however, visual acuity is required to read data on computer monitor. Incumbent must be able to operate keyboard driven equipment, communicate, written and verbally. May be required to lift up to 25-40-pound files. Subject to background investigation.
