JOB SUMMARY


  • Perform a variety of administrative and clerical duties. The Administrative Assistant's main duties include supporting our different divisions/departments, employees, and daily office needs as instructed by the manager.


MINIMUM QUALIFICATIONS


  • Requires knowledge of office procedures and word processing software at a level generally acquired through completion of an associate degree in a business or office-related discipline OR 3+ Years of experience providing administrative support.


OTHER REQUIREMENTS


  • Friendly, customer-centric attitude with strong interpersonal and organizational skills.

  • Work (ed) in a similar industry and/or position.

JOB RESPONSIBILITIES


  • Greeting and making a professional and courteous first impression with customers and visitors.
  • Answering and transferring phone calls to the appropriate party and handling queries and complaints via phone, email, and general correspondence.
  • Managing the front desk and performing basic support tasks (sorting and delivering mail, ordering and ensuring all necessary supplies are stocked and organized, etc.)
  • Assist with contract and/or subcontract review, corrections, and management as needed.
  • Assist with the preparation of bid documents.
  • Assist with documentation management, including filing, scanning, and maintaining any necessary logs and documents.
  • Assist with document and query retention processes.
  • Compose and/or edit letters, memos, reports, procedures, etc., as required.
  • Act as a liaison between the supervisor and others, such as other departments, external contacts, clients, etc. Such liaison may be required to arrange meetings, complete projects, coordinate work, and maintain working relationships.
  • Oversee and/or process day-to-day administrative items per supervisor's authorization.
  • Prepare department-specific reports as requested.
  • Back-up Project Coordinators as needed.

  • Some OT may be required.



  • Performs other tasks and special projects as assigned.
