Overview and Responsibilities

Job Summary

We are seeking a dedicated Medical Billing and Collections Manager to join our team. In this position, you are responsible for overseeing and directing the Billing & Collections Center (BCC) Supervisors and support staff on the billing and collections of all Rotech account receivables and ensures practices are consistent with company ethics, standards and company billing, collections and accounting policies and procedures.

  • Completes day to day BCC operations and end of month processes
  • Conducts general billing and collection training of all billing center staff
  • Directs staff on working accounts receivables, system report generation and collection goals
  • Implements Rotech's BCC policies and procedures and follows-up to ensure consistency with Rotech accounting policies and procedures
  • Interacts with regional carriers for account resolution as needed
  • Interview, hire and train employees; plan, assign, direct work; appraise performance; reward and discipline employees and address complaints and resolve problems as well as process improvements as applicable
  • Make effective presentations to management and employees with a high degree of professionalism and confidence
  • Must be up to date on proper payer requirements for claims processing
  • Oversees and manages the performance of BCC staff to achieve the objectives of Rotech's Billing & Collections Center Flow Process, implementation of the process for billing and collection of all accounts and goal setting
  • Participates in department and company meetings and events as delineated by Director
  • Provides consistent communication of billing/collection and compliance information to all staff
  • Provides direction to staff regarding resolution of problematic issues and areas as well as general guidance on how to manage and prevent similar situations
  • Remains current in program changes through review of pertinent publications, pertinent DMERC workshops and self-study
  • Reports directly to the BCC Division Director at a minimum on a monthly basis, the status of Rotech accounts receivable and DSOs
  • Reports quarterly on all accounts over 360 days
  • Reports to Divisional Directors of Operations at their request for IMBS reports, patient pay totals and account resolution related to field issues
  • Respond effectively to sensitive topics while creating and monitoring corrective action plans
  • Serves as a primary line of communication between staff and the Billing Center staff
  • Submits routine reports to BCC Divisional Director, Chief Financial Officer as requested
  • Supervises Billing & Collections Center (BCC) staff and other positions deemed appropriate by BCC Division Director
  • Works with BCC Divisional Director in the consolidation of Billing & Collection Centers and/or Divisions within the BCC
  • Works with Operations and Sales Regional Managers, Location Managers and Compliance Specialist to prepare for Rotech on-site compliance audits
  • Performs other duties as assigned

Travel

  • Overnight travel up to 10% of time depending on business needs

Qualifications

Employment is contingent on

  • Background investigation (company-wide)
  • Drug screen (when applicable for the position)
  • Valid driver's license in state of residence with a clean driving record (when applicable for the position)

Required Education and/or Experience

  • High school diploma or GED equivalent, required
  • A degree/certificate from an accredited school/college in healthcare or related field is preferred, or 2 years of equivalent combination of education and experience with previous management or supervisory experience in Durable Medical Equipment Prosthetics Orthotics & Supplies (DMEPOS) billing, collections and training, required
  • Knowledge of Medicare coverage/billing guidelines for DMEPOS required

Preferred Education and/or Experience

  • Experience in medical field and administrative record management, preferred
  • Experience with medical billing practices and of billing reimbursement, preferred
  • Experience with medical equipment, preferred
  • Medical terminology, preferred
  • Three years of supervisory experience or prior work experience in a team oriented environment highly desired

Skills and Competencies

  • Accurately perform simple mathematical calculations
  • Effectively communicate in English; both oral and written
  • Interpret a variety of communications (verbal, non-verbal, written, listening and visual)
  • Maintain confidentiality, discretion and caution when handling sensitive information

  • Lift and carry office equipment at times
  • Capable of lifting minimum of 50 lbs. during travel

  • Requires close vision to small print on computer and/or tablet and paperwork
