Job Summary

Our exciting Student Services Specialist Senior position performs higher-level enrollment services functions providing student support services for the college in the areas of admissions, records and registration. The person hired for this role will serve a diverse population of students, staff, faculty and community members in all areas of enrollment services. The Student Services Specialist Senior coordinates office workflow and provides training to other staff members.

Essential Functions

40% - Leads and coordinates back-office workflow, which may include incoming/outgoing transcripts, graduation processing, selective admissions processing, document retention, eForms, and the National Student Clearinghouse; provides support to call center & front counter/welcome desk functions and staff; addresses concerns and resolves problems; and composes, edits, and prepares correspondence and reports. Monitors quality assurance to include regular review (e.g., spot checks) to ensure accuracy of completed transactions and monitor reports related to enrollment in order to comply with district and government requirements.

20% - Provides backup to back-office processing as needed to meet deadlines and department goals; assists new and continuing students in person, over the phone, and via email in all student services processes, including admissions, registration, financial aid, and referrals to other related student services functions.

15% - Assists with training and prepares training materials for new and current contact center staff, maintains various admissions and records reports, answers incoming calls, chats, and texts, and monitors group emails.

15% - Provides direct student assistance with enrollment functions such as admissions, registration, residency, enrollment verifications, etc.

10% - Compiles and prepares data for supervisors on back-office functions and workflow; other duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) or more years' experience working in a One-Stop Enrollment Services and/or Admissions & Records Office
B. One (1) or more years' experience working with Peoplesoft (Student Information System), Dynamic Forms, Google forms/Google Suite, phone systems, etc.
C. One (1) or more years' experience compiling data and providing reports
D. One (1) year demonstrated leadership experience coordinating and/or leading project management
and/or workflow
E. One (1) or more years of experience working with state or federal regulations as it relates to student services in a higher education setting
F. One (1) or more years of experience working with students from diverse backgrounds and cultures

Special Working Conditions

  • May be required to travel or be assigned to all MCCCD locations.
  • May be required to work evenings and weekends.
  • May be required to work at multiple sites days, some evenings or weekends.
  • May require prolonged periods of viewing a computer screen.
  • May require lifting objects weighing up to 25lbs.
  • MCCCD does not sponsor individuals for any type of work visas.
