Position Summary |
The Business and Financial Operations Officer for the Office of the Vice Chancellor for Student Affairs works closely with divisional leadership to achieve strategic goals. Reporting to the divisional Chief of Staff, the Business and Financial Operations Officer manages the business and financial affairs under the leadership of the Office of the Vice Chancellor for Student Affairs. Responsibilities include but are not limited to facilitation/management of business affairs and financial resources that may be state or fee appropriated. This officer will communicate with divisional and senior administrators as needed to meet goals and objectives. This officer will oversee the management of contracts, grants and receipt generated funding within the Division. This officer will assist departments with internal business/financial matters as needed at the direction of the Chief of Staff. This assistance will include liaising within assigned departments as necessary to ensure operational compliance and efficiency.
This officer will generate, manage, monitor divisional budgets and spending as necessary to assure University and System fiscal compliance. The officer shall compile and distribute fiscal/administrative reports that are geared to keep divisional, university and system stakeholders abreast of the current landscape and needs. Operating as support personnel within the Office of the Vice Chancellor for Student Affairs, this officer will be responsible for maintaining current University administrative and financial training to support overall divisional compliance measures.
In addition, this officer will work closely with vendors, service providers, and internal departments to ensure that contractual obligations are met and resources are in place for efficient business operations. This includes:
- Tracking and managing contracts, ensuring that contract terms and billing align with budget allocations and financial guidelines
- Coordinating and processing payments for goods and services, ensuring timely and accurate billing, and addressing any discrepancies or concerns with vendors
- Collaborating with divisional and other campus partners like Budget & Analysis to ensure funding is in place for HR functions, procurement and other operational needs
- Assisting departments with contract execution as needed, and providing fiscal insights to ensure optimal financial outcomes for the division
By integrating these fiscal responsibilities with senior level administrative management/support, this officer will plays a key role in enhancing the operational efficiency and fiscal integrity of the Division of Student Affairs.
