Position Highlights The successful candidate will coordinate the graduate program in the Aerospace and Mechanical Engineering (AME) Department. Specifically, they will be responsible for recruitment, handling applications, managing the daily/weekly/monthly graduate program operations (e.g., exams, data collection), all while engaging with the student population within the department to ensure a quality educational experience. They will report to the AME Associate Department Head for Graduate Studies and will work closely with the AME leadership, graduate program coordinators across the college and main campus, and AME's graduate students.

Duties & Responsibilities

Administrative

  • Assist students through the PhD qualifying exam and comprehensive exam process, PhD. final oral dissertation defense, and MS thesis defense/oral exam.
  • Provide administrative support and coordination for exam committees.
  • Assist Graduate Studies Committee with ongoing review and updates of program academic procedures and policies.
  • Maintain data collection for analysis including, but not limited to, number of applications, admissions per program, time to completion, and exam pass/fail rates.
  • Assist with the completion of various annual surveys and reports.
  • Maintain current graduate handbook and website information.
  • Collaborate with internal and external institutional partners.
  • Coordinate with The College and Department on Pre-Commencement events.
  • Assist with assigning teaching assistantships and grader positions for new and current graduate students.
  • Assist in the development of new graduate student orientation and onboarding documents.
  • Some nights and weekend hours will be required to attend college and department events throughout the year.

Admissions

  • Monitor graduate program applications in the Graduate College application system and respond to applicant queries.
  • Provide information and access of graduate program applications to Graduate Studies Committee.
  • Facilitate the formal admission of new graduate students with the Graduate College Admissions Office.
  • Coordinate application review process with Graduate Studies Committee.
  • Generate admission offer letters to successful graduate program applicants. Inform other applicants of denial or waitlist status.

Advising

  • Assist graduate students with special requests, various letters, petitions, schedule changes, retroactive withdrawals, and leaves of absence.
  • Coordinate steps to degree completion with Graduate College, generate internal degree completion forms, and monitor submission of documents by semester deadline in online and hard-copy systems.
  • Facilitate the formal degree completion documentation requirements with the Graduate College.
  • Additional duties may be assigned.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 5 years of relevant work experience, or equivalent combination of education and work experience.
