Position Highlights The Facilities Operations and Safety Coordinator is a full-time position that is responsible for the direct day-to-day supervision and implementation of facility operations and assistance with the facility services and maintenance for Campus Recreation's SouthREC location. Additionally, this position will have assist and oversee aspects related to facility safety for the department of Campus Recreation. This includes student personnel supervision, financial support, guest and member relations, facility supervision, risk management and safety, and supporting overall staff development. This position requires fair, consistent, cooperative, and positive representation of the Department of Campus Recreation in accordance with Department and University policy. This position reports to the Assistant Director, Facility Operations & Services.

Duties & Responsibilities

Program Supervision

  • Ensure that all SouthREC facility spaces and operations, including is a 213,512 square foot facility consisting of basketball courts, two weight rooms, fitness rooms, bouldering wall, multi-activity court, and aquatic center, are operated safely and in compliance with Campus Recreation and University of Arizona policy, procedures, and safety standards.
  • Provide direct supervision for the Facilities program, designed to achieve the Campus Recreation vision and area goals. Responsibilities include the supervision of the front desk and weight room operations, equipment checkout processes, risk management, and informal recreation spaces and activities.
  • Offer and ensure proper facilitation of a variety of informal recreation programs to the University of Arizona community.
  • Provide daily supervision of program offerings and facility spaces that achieve exceptional quality, stewardship and accountability.

Personnel Supervision & Development

  • Oversee the hiring, training, scheduling, performance feedback, payroll disciplinary processes for ancillary, student, and volunteer staff. The development and engagement of student staff is an emphasis on this position. Current oversight includes 70-100 student staff including Student Coordinator, Facility Managers, and Facility Attendants.
  • Maintain consistent communication and information sharing with student staff through weekly updates and meetings.
  • Develop and oversee student development protocols, accountability processes, and disciplinary responses to support student staff growth and operational excellence for Campus Recreation SouthREC facility.
  • Responsible for departmental sales of in-person memberships, lockers, programming, and services via front desk staffing oversight. This includes point of sale and member management software oversight (RecTrac), reconciling, and training staff on policies and procedures.

Risk Management

  • Ensure that all space and equipment in each facility is in safe, operating condition and work with the appropriate maintenance staff, facility managers or service contractors to ensure the necessary repairs are made.
  • Train all staff in emergency responses, how to diffuse difficult situations and ensure certifications are maintained.
  • Oversight of monthly AED assessments for entire department and satellite locations. Communication with University of Arizona Risk Management and Facility Management on repairs, updates, or restocking as needed.
  • Intake and first outreach for Accident and Incident reports from SouthREC not resulting in EMS transport.
  • Assistance in leading EAP meetings with other program areas when requested.
  • Oversight of SouthREC Facilities internal staff auditing and safety training. Assistance in leading departmental CPR audits with the Aquatics team when requested.
  • Tracking all accident and incident trends, making recommendations and adjustments to maintain a safe environment in our facilities.

Software, Data Support, & Communication

  • Familiarize self with recreation software operational systems that include, but not limited to, RecTrac, DAC, Connect2, KeyWatcher, Towel Tracker, SubItUp, Drupal, etc.
  • Develop, maintain, and ensure completion of Connect2 forms and tasks including facility headcounts.
  • Develop and provide reports on facility usage, equipment checkout trends, and other aspects related to areas of oversight in coordination with Campus Recreation staff.
  • Under the guidance of the Assistant Director and department marketing staff, implement publicity strategies to maximize facility participation.

Fiscal Management

  • Assist with the annual budget submission with emphasis on student facility staffing wage projections.
  • Develop, manage and monitor the informal recreation program budget.
  • Assistance in the recommendation of equipment purchasing for weight room spaces.
  • Make recommendations for supplies purchasing for equipment check out, fitness spaces, open recreation, office supplies, and cleaning supplies.
Minimum Qualifications
  • Minimum of 3 years of related work experience or equivalent combination of education and work experience required.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
Preferred Qualifications
  • Master's degree preferred.
