About the Job

Position Overview:
The Department of Sociology in the College of Liberal Arts is seeking to fill Administrative Associate 1 position. This position works with the department chair, department administrator, and faculty committee chairs of the department, as well as manages administrative services and projects that support the key goals and responsibilities of the department. This position is responsible for all aspects of the promotion, tenure and salary processes, faculty searches, communications and major events. This position requires a high level of skill and experience with a broad range of competencies to support and enhance the academic, professional and community mission of the Department.

This is a 100% time, 12-month continuous Civil Service position. This position is hybrid, requiring in-office presence at least 3 days a week and reports to the department administrator.

Job Responsibilities:
Administrative/Faculty Affairs - 55%

  • Promotion, Tenure and Salary Committee
    • Manage promotion and tenure reviews, appraisal of probationary faculty, annual reviews of faculty performance (FARSs), and faculty searches (25 faculty).
    • Coordinate the outreach and collections of all materials and letters for promotions and compile PT&S dossiers for college and university review.
  • Faculty & Staff Award Dossiers
    • Coordinate the outreach and collections of all materials and letters for faculty and staff award nominations and compile dossiers to prepare for university, national and international awards, furthering the mission of the department.
  • Other Faculty Affairs Administration
    • Responsible for organizing and maintaining all governance documents.
    • Evaluates administrative processes and participates in department strategic planning sessions; policies/procedures/governing documents, and facilities to improve workflow and efficiency.
    • Responsible for organizing all documents related to faculty searches.

Departmental Communications, Events and Promotion - 45%

  • Department Events and Promotions
    • Oversee, plan and implement department events, consulting with the relevant department committee or faculty sponsor. Events include the Sociology Research Institute, Workshop Series, retreats, conferences, welcome reception each fall for new faculty and graduate students, and visiting lecturers.
    • Oversee all workshop event logistics; including setting up/monitoring concurrent zoom sessions for the department workshop series, editing the recordings and posting them to the website after each workshop.
    • Manage all event budgets; submit contracts for venues and order refreshments; advertise; and maintain on-line events calendars.
    • Provide administrative support by making travel arrangements, planning and scheduling visitor itinerary, and corresponding with visitors, faculty and staff.
    • Research and recommend event planning that engages the local and academic community, such as book release celebrations.
  • Department Communications
    • Provide oversight of the department's website. Serves as the department's website administrator. Develop internal and external communication strategies, priorities and messages, specifically to maintain updated web content.
    • Assist in advertising professor research; oversee checking google scholar citations and updating them.
    • In collaboration with the chair, department administrator, and development officer, establish and maintain important external relationships with professional, academic and community partners, including alumni.
    • Uses Google Applications to collaborate with faculty and graduate committee members, in real time, to edit items like faculty annual reviews; uses Google Forms to collect and track community feedback and collect RSVPs for event programming, and Google Sites to build event websites.
    • Works closely with key staff to manage/update Sociology's intranet site, which serves as a one-stop, how-to information hub, helping graduate students track their milestones and faculty manage their grants and finances.
    • Designs the department's marketing materials, such as flyers and posters, annual reports, and slide presentations.
Qualifications

Required Qualifications:

  • BA/BS or a combination of related education and work experience to equal four (4) years, to include two years' experience supporting an academic unit in a college or university setting; applies knowledge and skill to recurring task or activity with emphasis typically on precision and timeliness of execution.
  • Excellent computer skills in Google and Microsoft Office applications.

Preferred Qualifications:

  • Higher education work experience with knowledge of collegiate policies and procedures related to faculty promotion and tenure. Experience working with CLA Dossier Builder.
  • Experience working with faculty and students in higher education setting strongly preferred. Leadership or program coordination experience.
  • Prior experience with supporting academic administrative professionals.
  • Prior work experience or coursework within the social sciences.
  • Experience working with Drupal for website content management.
  • Excellent verbal and written communication skills to include proofreading, spelling, and grammar.
  • Proven ability to work independently with highly confidential materials.
  • Excellent organizational skills, to include multitasking and time management, and ability to prioritize tasks in a fast-paced work environment.
  • Prior experience with electronic calendaring.

The Department of Sociology consists of 25 faculty, over 50 graduate students, and over 500 undergraduate majors. Pay Range: $50,003.20 - $59,009.06 annually; Hourly rate $24.04 - $28.37; depending on education/qualifications/experience
