Job Title: Administrative Assistant
Job Description We are seeking a temporary Administrative Assistant to provide comprehensive administrative support to our department management and staff. You will play a crucial role in fulfilling the division's strategic programs with a customer service mindset while partnering with multiple levels of the organization. This role requires you to adapt effortlessly to change and exhibit confidence under pressure. Responsibilities * Ensure the leader's time is aligned with their priorities by maintaining calendars, scheduling appointments and meetings, and coordinating travel arrangements and accommodations. * Draft and edit correspondence, reports, and other documents for efficient communication within the department and with internal partners. * Manage and organize files, records, and documents, including processing and tracking expenses and invoices, while handling confidential information with professional discretion. * Support department meetings, events, and special projects, including ordering catering and supplies, compiling presentations, and creating learning links and surveys. * Assist with space planning for new hires or department moves. * Attend team meetings, take meeting minutes, run PowerPoint presentations, and help edit PPT slides. * Perform additional tasks as needed. Essential Skills * 5+ years of recent administrative experience. * Proficiency in Outlook for calendaring and managing virtual meetings (Webex and MS Teams). * Experience with Concur for booking travel and managing expenses. * Experience with SUMTOTAL for expense reporting. * Strong multitasking abilities and customer service skills. * Proficiency in Microsoft Office, including Outlook, Excel, and PowerPoint. Additional Skills & Qualifications * High School Diploma. * Experience in a corporate environment, particularly larger financial institutions, is a plus. * Event planning and calendar management skills. Work Environment This position operates in a hybrid environment, requiring onsite presence three days a week with flexible hours from 7:30 am to 4:00 pm. You will support the Department of Technology and Transformation, which includes nine leaders and three administrators. You may be required to support three leaders and assist with additional tasks as needed. Job Type & Location This is a Contract position based out of Minneapolis, Minnesota. Pay and Benefits The pay range for this position is $28.00 - $33.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
