A Brief Overview
The Office Coordinator, Fitness Center reporting to the General Manager of Fitness Center is directly responsible for administrative and financial tracking within the Fitness Center including: billing, collection, member account management, revenue and expense analysis and budgets. Additionally assists the managerial and professional staff with a variety of office functions including, but not limited to: data entry, typing, operational issues, bookkeeping, customer service, point of sales functions and membership related issues. What You Will Do
- Responsible for administrative and financial tracking within the Fitness Center including: billing, collection, member account management, revenue and expense analysis and budgets. Assists the managerial and professional staff with a variety of office functions including, but not limited to: data entry, typing, operational issues, bookkeeping, customer service, point of sales functions, and membership related issues on a timely basis.
- Processes monthly billing between the 2nd and 5th of each month and prebilling which consists of coordinating bridging, cancelations, new member accounts, sending invoices to members and corporate accounts, as well as reconciling past due accounts.
- Monitor member's accounts for credit card expirations, method of payments and repetitive rates.
- Prepares deferred income reports for paid in full memberships and gift certificates and monetary donations for hospital accounting.
- Performs end of month process and EFT transmittal in accordance to due date.
- Sends letters to 18/24 year old members, handles medical freezes, downgrades, and establishes weight loss client memberships.
- Manages updating and accuracy of Fitness Center revenue financials on daily basis.
- Serves as a liaison with member management system for technical support and schedules upgrades with the system.
- Directly responsible for front desk, child care attendants in Kids Club and membership staffing and scheduling and operations related to front desk area and Kids Club and understands front desk and Kids Club daily duties.
- Provides social media support.
Additional Responsibilities
- Maintains and oversees the Pro Shop.
- Participates in fitness center promotion planning.
- Maintains messaging to members on specific fitness center issues through mass e-mail system as needed.
- Performs other duties as assigned.
- Complies with all policies and standards.

- Must abide by all requirements to safely and securely maintain Protected Health Information (PHI) for our patients. Annual training, the UH Code of Conduct and UH policies and procedures are in place to address appropriate use of PHI in the workplace.
