Organizational Unit Overview |
The School of Dental Medicine is composed of ten administrative offices and four academic departments. The Administrative units include the Offices of the Dean, Vice Dean, Associate Dean for Student Affairs, Associate Dean for Research, Associate Dean for Clinical Affairs, Associate Dean for Extramural Clinical Practices, Associate Dean for Faculty Affairs, Assistant Dean for Dental Education and Informatics, Assistant Dean for Academic Success and the Assistant Dean or Business Operations and Financial Affairs. The four academic departments are Surgical Sciences, Pediatric Dentistry, Orthodontics and Dentofacial Orthopedics, General Dentistry and Foundational Sciences.
Included in the mission of the School of Dental Medicine is to educate dental care providers (both dental students and dental residents) and to address the oral health care needs in rural populations of North Carolina. The School of Dental Medicine meets these missions by operating dental clinics that provide both educational experiences for the dental students and residents and provides dental care to the residents of North Carolina. These clinics occur in both Ross Hall in Greenville, North Carolina, as well as Community Service-Learning Centers located throughout North Carolina. In order to operate these clinics, appropriate dental auxiliaries and clinical staff are needed. Advanced patient care is also provided to patients by participating faculty in the Faculty Practice in Ross Hall. |
Job Duties |
The Director of Student Services manages and directs all services and functions related to students enrolled at the School of Dental Medicine.
In addition to continual daily contact with individual SoDM students and student organizations, the Director interacts with all stakeholders within the School of Dental Medicine on student-related matters. Similarly, the Director interfaces with other
ECU units and offices, community-based service organizations, professional associations, State government agencies and offices, and corporate entities, and regarding student matters, and on behalf of students.
The breadth of these interactions enables the Director of Student Services to serve as the primary interface for student services, and to maintain widely reaching supportive relationships with students throughout their time of enrollment and as they transition to become alumni of the School.
This position manages a wide range of tasks simultaneously and accurately, and responds to multiple requests in a short period of time.
The Director of Student Services performs the following functions for the School of Dental Medicine. In addition, travel may be required of this position for trade shows and/or recruitment fairs.
- Serves as a resource and advocate for students (20%)
- Coordinates and directs graduation-related events and student related events for the SoDM (20%)
- Manages Student Communications (15%)
- Oversees functions of all SoDM student organizations (15%)
- Manages student travel budget and related travel logistics for professional meetings (15%)
- Manages student housing program for D4 students rotations (10%)
- Compliance (5%)
Manages Student Communications (15%)
- Serves as the SoDM's primary point of contact regarding student matters.
- Facilitates communication with individual students and groups of students.
- Serves as a resource for students, staff and faculty for student-related matters, policies and procedures.
- Responds to all inquiries from students and to all inquiries regarding students.
- Develops class composites.
- Maintains and annually updates Student Handbook.
- Interfaces with a wide range of internal and external stakeholders, including: the Chancellor's Office, Board of Trustees' members, other state agencies and university units, and counterparts at other universities, regarding student-related matters.
Serves as a resource and advocate for students (20%)
- Contacts other university offices and external constituencies as needed to resolve student concerns.
- Advocates for students both within the SoDM and externally.
- Manages extremely confidential student matters.
- Facilitates the development of new student programming in response to student, SoDM or university needs.
Oversees functions of all SoDM student organizations
(15%)
- Advises and mentors leaders of Dental Student Government and other student organizations.
- Guides Dental Student Government leaders in developing their annual budget; mentors them in allocating SoDM student activities fund; provides final approval regarding allocation of funding.
- Oversees student organization expenditures, including payment of invoices and reimbursements, where appropriate.
- Approves student organization activities and fundraisers.
- Coordinates student Lunch and Learn activities.
- Maintains calendar of student activities.
Coordinates and directs graduation-related events and student related events for the SoDM (20%)
- Related to graduation, coordinates programming for final two weeks of D4 year, Graduate Recognition Breakfast, SoDM Convocation Ceremony, and other events.
- Coordinates and directs student-related events for the SoDM including week-long new student Orientation, Tomorrow Starts Soon pre-orientation event, White Coat Ceremony, Family Day
- Assumes budgetary responsibility for all student events
- Supports other SoDM events (e.g., Fall Convocation) as needed.
Manages student travel budget and related travel logistics for professional meetings (15%)
- Develops annual projected student travel budget, including sources of funding
- Educates students regarding parameters for ECU-sponsored travel
- Determines allocation of travel amount, based on student requests and availability of budgeted funding.
- Coordinates application and selection process for various travel opportunities (e.g., ASDA National Leadership Conference).
Manages student housing program for D4 students rotations (10%)
- Interfaces with North Carolina Area Health Education Center offices across the state regarding student housing.
- Approves student housing requests as needed by regional AHEC offices.
- Interfaces with students as needed to address questions or concerns regarding housing.
- Ensures ongoing suitability of housing options for students on rotations
Compliance (5%)
- Researches University and peer institution student-related policies, procedures and regulations; drafts and/or revises SoDM standard operating procedures and guidelines.
- Ensures that processes and practices fully comply with appropriate legal, regulatory (federal, state and institutional) and accreditation standards (e.g., Family Educational Rights and Privacy Act, Americans with Disabilities Act, HIPAA, Commission on Dental Accreditation).

Minimum Education/Experience |
Master's degree in education, communications, student services or related field; or will accept in substitution a Bachelor's degree in education, communications, student services or related field with a minimum of two years directly related experience; all degrees must be received from appropriately accredited institutions.
Demonstrated experience collaborating with a wide array of individuals to include students, faculty, staff, administrators, and the community.
Excellent oral and written communication skills; effective interpersonal skills.
Demonstrated experience independently managing confidential and sensitive matters on a daily basis.
Demonstrated experience supervising staff, meeting deadlines, and solving problems independently. |
License or Certification Required by Statute or Regulation |
Position requires a valid driver's license or the ability to obtain one within 30 days of the date of hire. A valid driver's license must be maintained as a condition of employment. |
