What this job involves

The Facilities Coordinator supports daily operations in facility management, serving as the primary coordinator for onsite property vendors and employees supporting interior office and amenity spaces. This role encompasses general facility management services, routine property management operations, procurement of supplies and services, and provides critical support to mail center activities and equipment management.

Your day-to-day tasks will include:

  • Respond to facility needs and coordinate daily activities in offices and amenity spaces
  • Manage vendor contracts for services including janitorial, exterminating, lighting, and equipment maintenance
  • Conduct daily building inspections, create service tickets, and coordinate repairs with appropriate vendors
  • Obtain vendor proposals, issue purchase orders, and schedule maintenance work to ensure seamless operations
  • Assist with vendor RFP process and ensure compliance with insurance requirements and building regulations
  • Support mail operations including sorting, posting, shipping, and resolving delivery issues
  • Act as liaison for clients, visitors, and vendors, handling escalations and service requests professionally

Physical Demands and Work Environment:

  • Ability to perform maintenance handy-work and building inspections
  • Must be able to move throughout facility spaces and amenity areas
  • May require lifting and moving office supplies and equipment
  • Indoor office environment with occasional exposure to mechanical rooms and building systems
  • May require standing, walking, and physical coordination for facility inspections

Required Qualifications:

  • 1+ years of experience in facilities coordination and maintenance handy-work
  • Proficient in Microsoft Office Suite applications
  • Demonstrated working knowledge of building systems (HVAC, electrical/low voltage, plumbing, fire protection, security)
  • Strong organizational and analytical skills with attention to detail
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to multi-task and work effectively both in team environments and independently
  • Strong customer service orientation and professional demeanor

Preferred Qualifications:

  • Experience in facility management or related field
  • Familiarity with CMMS (Computerized Maintenance Management Systems)
  • Knowledge of procurement processes and vendor management best practices
  • Experience in budget management and financial reporting
  • Previous experience supporting mailroom or shipping operations
  • Understanding of vendor RFP processes and contract compliance
  • Basic project management skills for special projects and pilot programs

Work Shift

  • Monday - Friday: 3p-11:30p or 12p-8:30p

Estimated total compensation for this position:

45,000.00 - 50,700.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
